Description

The Admin Executive role will be responsible for providing high-level clerical support to the organization. As an administrative executive, your job duties may include managing day-to-day admin related tasks, arranging travel and accommodations, ensuring licenses, company documentation, and bills are up to date / paid on time.

Responsibilities:
To monitor and ensure maintenance of the general housekeeping of all company offices and manage admin staff.
Coordinate with drivers and facilitate the arrangements of cars, food etc for guests, company staff for site visits, client visits, company celebrations, welfare activities etc.
Follow up and oversee pantry purchases are done on time as per the requirements.
Coordinating with all departments and assisting in dept. requirements on any office arrangements as required for smooth operations.
Responsible for maintenance of all documentation and timely payments of all vendors for Admin - for offices, company properties, cars, insurance, utilities (mobile, uniforms, salik, cafu, electricity, zenner, water etc.)
Maintaining petty cash records and documentation. Ensure that invoices are processed on time for closing petty cash balance monthly before zero balance dates.
Prepare business card requisitions and coordinate the printing, delivery, and issuance.
Follow up with supplier for statement of accounts as required by accounts department.
Collect admin related company assets and reallocate when employee goes on leaves or new employees join.
Follow-up & ensure maintenance of the office equipment (attendance machines, firefighting equipment, plants, carpets, deep cleaning etc.)
Monitor the attendance and report on irregularities to the HR team.
Report incidents immediately and take necessary precautions.

Qualifications:
Proven experience as an Administrative Executive in Dubai.
Must have full knowledge of processes of license renewals, utility management, pantry management, office management in the UAE.
Exemplary planning and time management skills.
Ability to multitask and prioritize daily workload.
High level verbal and written communications skills.
Discretion and confidentiality.
