As a Vaccine Customer Service & Logistics Executive , you will manage and support Vx operations in the Gulf Market, ensuring the efficient distribution and logistics of vaccines, and overseeing the end-to-end vaccine business for the MMW in UAE serving all Gulf markets.

This role will provide YOU the opportunity to lead key activities to progress YOUR career, with responsibilities including:

Core Commercial Cycle (CCC) Contribution:

• Participate in CCC meetings to align supply chain activities with commercial strategies.
• Provide updates on supply chain performance, potential risks, and mitigation plans.
• Collaborate with commercial teams to ensure alignment between supply chain operations and market demands.
• Support the implementation of commercial strategies by ensuring timely and efficient distribution of vaccines.
• Contribute to the development and execution of action plans to address supply chain challenges.

Order Management and Monitoring:

• Monitor order status for all Gulf markets, ensuring adherence to timelines and addressing discrepancies.
• Report any delays in batch allocation, packaging, and release processes.
• Escalate significant delays or supply risks to the regional team and Vx Business Unit Director.

Order Raising and Coordination:

• Raise and confirm trade and tender orders during the Market Operating Committee week.
• Ensure tender order quotation is raised and Purchase Order received, coordinating with Bio supply teams.
• Align all orders with market forecasts and business requirements.

Regulatory Coordination:

• Liaise with Regulatory teams on SKU readiness and special permits needed for supply.
• Ensure timely completion of all documents/permits to avoid shipment delays.

Distributor Alignment and Communication:

• Share documentation for the import of Vx shipments with local distributors.
• Follow-up on trade order raising as per in-market forecast.
• Track import permit receipts and plan shipments with distributors.
• Maintain communication with distributors to ensure smooth operations.

Track and Trace:

• Manage track and trace systems to monitor vaccine movement throughout the supply chain.
• Ensure real-time visibility of vaccine shipments from production to delivery.
• Collaborate with logistics partners to integrate track and trace technologies.

Coordination with Vaccine Regional Distribution Team:

• Coordinate with the Vaccine Distribution Planner for shipment planning.
• Request documents for distributors for customs clearance.
• Follow-up on Air Waybills and distributor requests for timely delivery.

Cold Chain Management:

• Ensure adherence to cold chain protocols for vaccine efficacy.
• Monitor temperature-controlled logistics for storage and transportation.
• Coordinate with logistics partners to maintain proper handling conditions.

3PL Management:

• Oversee third-party logistics providers for compliant distribution.
• Negotiate and manage contracts with 3PL providers.
• Monitor 3PL performance through key performance indicators.

Warehouse Management:

• Ensure efficient warehouse operations in compliance with regulations.
• Oversee inventory management and implement best practices.

Trade Compliance:

• Ensure compliance with trade regulations and policies.
• Prepare records for customs clearance and trade compliance.

Invoicing and System Management:

• Maintain SKU codes for order raising and invoicing.
• Follow-up with IT on order processing and system-related issues.

Monthly Reporting and Analysis:

• Conduct OTIF analysis and prepare invoice reports.

Continuous Improvement:

• Identify opportunities for process improvements in supply chain operations.
• Collaborate with teams to implement best practices.

Why you?

Basic Qualifications:

• Bachelor's degree in engineering or pharmaceutical sciences.
• Minimum of 5 years of experience.
• Proficiency in SAP ECC or similar ERP systems.
• Strong analytical and communication skills.
• Detail-oriented with problem-solving abilities.
• Knowledge of cold chain management and trade compliance.
• Experience in logistics and distribution.
• Familiarity with the Gulf Market.
