We are actively recruiting an Office Coordinator for our Fairfield, NJ corporate headquarters. In this critical administrative role, the Office Coordinator takes charge of office management, communication, and essential administrative tasks. This role orchestrates business travel, supports HR's administrative needs with new hires, and ensures efficient administrative processes, requiring a versatile professional who can provide integral support across diverse functions, contributing to seamless operations of the Firm.

Duties & Responsibilities:

Manage incoming calls, serving as liaison for application issues

Maintain office cleanliness and kitchen supplies; coordinate food orders, monitor snack inventory, handle water orders, and monitor/restock office supplies; schedule any necessary installations or setups in the office

Manage monthly calendar updates, birthday cards, and gift cards; coordinate other gift/flower orders as needed
Maintain conference room reservations; oversee office/meeting food and catering orders as needed, including restaurant reservations

Manage internet provider accounts and details for Fairfield, Shrewsbury, and Boston offices

Handle monthly Brex memos, receipts, and accounting reconciliations

Coordinate new hire onboarding packages, manage terminations and related logistics, monitor equipment shipments and asset tracking, monitor laptop warranties, assist in laptop/monitor replacements

Support new hire orientation by ensuring all technology-related requirements are completed and ready as needed

Oversee the entire laptop inventory, including coordinating repairs for damaged devices with Lenovo, while serving as the primary point of contact for Lenovo technicians during in-person interactions

Update HRIS with new hire information, work anniversaries, and internal communications (announcements, events, birthdays, newsletters, etc)

Ensure new hires have professional headshots, scheduling photoshoots or capturing/editing photos when required

Miscellaneous administrative duties when required

Knowledge & Skills:

Bachelor's degree in marketing, business, or related field preferred.

A minimum of 2 years of relevant experience in administration and clerical work, preferably in a professional services environment.

Strong experience using Microsoft Office (Outlook, Word, Excel, PowerPoint)

Strong written and verbal communication skills.

Ability to effectively plan, execute, and oversee projects, ensuring they are completed within deadlines.

Capacity to adapt to changing priorities and work in a dynamic environment.

Ability to collaborate with cross-functional teams and work seamlessly with colleagues from different departments.

Ability to understand and engage with business needs and prioritize accordingly.

Must be able to multi-task and perform work with minimal supervision.

Proficient in spelling, punctuation, grammar, and other English language skills.?
