Job Overview:
The Stores Personnel in a factory unit is responsible for the efficient management, organization, and inventory control of all materials, tools, and equipment within the storehouse. This role involves ensuring that the factory's production lines are consistently supplied with the necessary materials while maintaining accurate records and ensuring proper storage conditions. The Stores Personnel plays a crucial role in supporting the smooth operation of the factory by managing inventory levels, handling material receipts and dispatches, and ensuring compliance with safety and organizational standards.
Key Responsibilities:
Inventory Management:
Maintain accurate and up-to-date records of all inventory items, including raw materials, finished goods, spare parts, and tools.
Conduct regular physical stock checks to verify inventory levels and reconcile discrepancies.
Monitor stock levels and ensure timely reordering of materials to prevent shortages or production delays.
Implement and manage inventory control systems, such as FIFO (First-In, First-Out) or LIFO (Last-In, First-Out), to optimize material usage and minimize waste.
Material Handling:
Receive incoming materials, inspect them for quality and quantity, and document the receipt in the inventory management system.
Safely store materials in designated areas, ensuring they are properly labeled, organized, and protected from damage.
Issue materials to production departments based on requisitions, ensuring accurate tracking and documentation of all transactions.
Arrange for the safe and timely dispatch of finished goods or materials to external customers or other factory units.
Documentation and Reporting:
Maintain accurate records of all material receipts, issues, returns, and transfers within the factory unit.
Prepare and submit regular inventory reports, including stock levels, usage rates, and reorder requirements, to the Stores Manager or relevant departments.
Assist in the preparation of reports related to material usage, wastage, and inventory turnover.
Ensure all documentation is compliant with company policies and industry regulations.
Safety and Compliance:
Adhere to all safety protocols and guidelines related to material handling, storage, and transportation within the factory unit.
Ensure that hazardous materials are stored and handled according to safety regulations and that Material Safety Data Sheets (MSDS) are available.
Participate in safety audits and contribute to maintaining a safe working environment within the storehouse.
Ensure compliance with company policies, industry standards, and regulatory requirements related to inventory management and storage.
Coordination and Communication:
Collaborate with production, procurement, and quality control teams to ensure that materials are available when needed and meet the required quality standards.
Communicate effectively with suppliers, transporters, and other external parties to coordinate material deliveries and dispatches.
Provide feedback to the Stores Manager or relevant departments on material shortages, overstock situations, or any other issues affecting inventory management.
Continuous Improvement:
Identify opportunities for improving inventory management processes, such as reducing lead times, optimizing storage space, or minimizing material waste.
Participate in process improvement initiatives and contribute ideas for enhancing the efficiency of the storehouse operations.
Stay updated on best practices in inventory management and material handling to support ongoing improvement efforts.
Equipment and Facility Maintenance:
Ensure that all storage areas, equipment, and tools are kept clean, organized, and in good working condition.
Report any equipment malfunctions or facility issues to the relevant maintenance personnel and ensure timely repairs.
Qualifications and Skills:
Education: High school diploma or equivalent; a diploma or certificate in inventory management, logistics, or a related field is a plus.
Experience: 1-3 years of experience in inventory management, storekeeping, or a related role within a manufacturing or factory environment.
Technical Skills:
Proficiency in using inventory management software or ERP systems for tracking and managing stock levels.
Basic understanding of inventory control principles and practices.
Knowledge of safety regulations and procedures related to material handling and storage.
Organizational Skills: Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities.
Attention to Detail: High level of accuracy and attention to detail in recording inventory transactions and handling materials.
Communication: Good verbal and written communication skills, with the ability to work effectively with colleagues and external parties.
Physical Fitness: Ability to perform physical tasks, including lifting, carrying, and moving materials and equipment as required.
Work Environment:
Factory/Production Environment: Regular work in a factory setting, including exposure to machinery, equipment, and production processes.
Warehouse/Storehouse Environment: Work in a storage area, which may involve working in varying temperatures or conditions depending on the nature of the materials.
Physical Requirements:
Lifting and Moving: Ability to lift and move materials weighing up to (insert weight, e.g., 50 lbs) as required.
Standing and Walking: Extended periods of standing and walking may be required while managing inventory and handling materials.
Safety Gear: Use of personal protective equipment (PPE) such as gloves, safety shoes, and helmets as required in the work area.
