Sinclair is seeking an Executive Assistant to help deliver top-tier administrative support to the CLO and COO.

Coordinate and manage complex calendars for the COO and CLO, scheduling meetings, appointments, and conferences.Prepare detailed daily and weekly schedules, ensuring alignment with priorities and avoiding scheduling conflicts.Travel and Logistics:
Organise international and domestic travel, including flights, accommodation, ground transport, and visa applications.Prepare detailed travel itineraries, ensuring all necessary documentation and resources are in place.Communication and Correspondence:
Act as the first point of contact for communications, including phone calls, emails, and visitors.Filter, prioritise, and respond to enquiries on behalf of the COO and CLO, as appropriate.Draft, proofread, and manage professional correspondence and documentation.Personal Assistance:
Support personal tasks for the COO and CLO, such as managing personal appointments, events, and errands.Liaise with household staff and service providers to ensure seamless handling of personal matters.Event Organisation:
Plan and manage business events, conferences, and social functions.Oversee all logistical arrangements, including invitations, travel coordination, and on-site support.Project Management:
Provide support for key projects and initiatives led by the COO and CLO, ensuring timelines and deliverables are met.Conduct research, compile reports, and prepare briefing materials and presentations.Create visually compelling, data-driven presentations aligned with strategic goals.Administrative Support:
Prepare expense reports, reconcile credit card statements, and manage office-related administrative tasks.Maintain organised and accessible document management and filing systems.Confidentiality and Discretion:
Handle sensitive information with the utmost confidentiality and professionalism.Build and maintain trust and reliability in managing both personal and professional matters.Problem-Solving and Adaptability:
Demonstrate the ability to manage competing priorities, adapt to changing circumstances, and maintain composure under pressure.Experience and QualificationsExperience:
Minimum of 5+ years as an Executive Assistant to senior executives in a fast-paced corporate environment.Skills:
Exceptional organisational and time-management skills.Strong attention to detail and the ability to manage multiple tasks effectively.Excellent verbal and written communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management tools.Ability to work under pressure and handle last-minute changes.Personal AttributesHigh level of professionalism and confidentiality.Proactive with a positive and adaptable attitude.Strong interpersonal skills with the ability to build relationships at all levels.EducationA bachelor's degree is preferred but not required if extensive relevant experience can be demonstrated.Desirable ExperienceExposure to managing transformational change.Experience in fast-paced, dynamic environments.Proven ability to collaborate with senior leaders.Values and BehaviorsAs a values-driven organisation, we prioritise collaboration, innovation, and agility.
