Role Description

This is a full-time on-site role for a Project Coordinator at O.N.
Site Construction Inc.
The Project Coordinator role is an integral member of the Project Management team and acts as a key facilitator of information communicated between project teams, clients, trades, and our Finance team.
This exciting role has been designed to better support the planning and seamless execution of all projects.
The individual will be the 'right-hand' support person to the project managers and will ensure efficient coordination of project administration from set-up to close-out of projects.
Individual sought should be dedicated and highly motivated to provide the highest quality of service.

We are seeking an experienced, highly motivated Project Coordinator that comes with multi project experience who will work closely with a team of highly qualified professionals on medium size, multi-trade, commercial industrial renovation, or interior fit-out projects ranging from $200K to $15 million.

Responsibilities

• Partner with Project Manager by supporting administrative duties of the tendering, set-up and close of construction projects; lead the administration and tracking of all required project documentation in company systems.
• Lead the timely preparation, compilation and distribution of Project Manager approved tender documents to Sub-Contractors and assist in tracking and compilation of tender quotes.
• Uploading and ongoing management of construction drawings and specifications on company website for sub-contractors, including ordering of hardcopies.
• Obtain required bonding, surety letters, insurance certificates, WSIB and Notice of Project.
• Accurately set-up clients, projects, budgets and change orders in Jonas Premier Software.
• Assist Project Manager with issuance of subcontracts and enforce contractual responsibility with sub-contractors; ensure shop drawings are processed, reviewed and distributed.
• Lead the creation and distribution of detailed project handbook for Site Supervisors and project teams.
• Assist with change order management.
  Troubleshoot the many complexities of the change order process with Project Managers, Sub-Contractors and Finance team.
• Support Finance team by drafting and tracking billing detail; generate and audit project cost controls, including monitoring of cash allowance and contingency for completeness prior to submission to project manager.
  Prepare forecast to complete project reports in excel.
• Lead the compliance process for project closeout, including publication of project substantial performance as required by applicable Lien act, ensuring Client deadlines are met.
• Collect, accurately assemble and submit project record close out documents to consultants, including hardcopies and electronic files of warranties, As Built drawings, testing & inspection reports, consultant reviews, operating manuals, MSDS, permits and certificates.
• As a member of a small team there will be other duties assigned from time to time.
  It is important that you are willing to take on these additional responsibilities when assigned.

Qualifications

• Recent graduate of an undergraduate degree program in construction management, or recognized equivalent required
• Ability to develop and maintain excellent relationships with multiple stakeholders
• Excellent and effective communication skills; written and verbal
• Strong organization, planning and time management skills
• Strong analytical, problem-solving skills
• Excellent with numbers, budgets and reporting
• Enthusiasm and commitment to continual learning
• Proficient in all computer skills, MS Office, Adobe and Internet applications (Word, Excel, ideally Project, and Acrobat) necessary.
  QuickBooks, Jonas Premier Software or similar financial accounting software an asset.

Working Conditions

• On-site and in-office
• Site visits for walk throughs and to meet clients
• Work involves computer-based tasks, periods of sitting at a desk, participation in remote and in-person meetings, managing emails, handling phone calls, and performing other related duties as required
