Enrollment & Verification Specialist

Overview and Responsibilities:

The Enrollment & Verification Specialist is responsible for providing escalated student support related to all enrollment and verification activities. This position serves the Records & Registration functional areas of non-credit and credit registration, client reporting, student enrollment, and processes, including but not limited to, data collection, student data reports, Banner module maintenance, National Student Clearinghouse graduation and enrollment reporting, process improvement and implementation activities. This position also provides general Records & Registration support to assist our students in their educational path.

Responsibilities:

Manage enrollment verifications for employers, student resource providers, and individual requests.

Coordinate graduation verifications for employers of CVTC graduates or specialized student requests.

Investigate and/or troubleshoot National Student Clearinghouse errors including, but not limited to, enrollment information discrepancies. Serve as back-up for enrollment and graduation reporting.

Coordinate all student Wisconsin Technical College System (WTCS) client reporting errors and troubleshoot with other departments as needed. Confirm proper coding of students is conducted to ensure correct client reporting.

Evaluate student graduation applications and provide individual student graduation clearance.

Process student transfer and credit for prior learning (CPL) credits, course substitutions, and waivers into Banner and Degree Works.

Assist with final graduation clearance, awarding of all certificate/technical diploma/associate degrees, embedded credentials, and awarding of academic honors.

Manage and facilitate the student CPL inquiry process by coordinating student appointments, managing CPL email inquiries, and helping facilitate the internal and external CPL inquiry forms.

Prepare student CPL documentation packets for verification.

Coordinate and track faculty CPL payments in cooperation with the Finance department.

Conduct reporting and data analysis related to enrollment and verification specialist area.

Test functionality of Banner upgrades and patches pertaining to enrollment, verification, certificates/technical diploma applications, and graduation during quarterly cycles.

Responsible for assisting with grade exclusions and finalizing grades for end-of-term processes.

Serve as the records & registration subject matter expert for internal and external customers for enrollment verification, graduation confirmation and all other items that may support students.

Investigate and resolve all escalated student and staff concerns related to registration of both credit and noncredit coursework. This includes but is not limited to registration communication, maintenance of student registration time tickets and permit overrides, troubleshoot any registration concerns, and student lab support of all new and open registration students.

Identify and implement uses of Banner and office systems technology to support continuous process improvement.

Develop an in-depth working knowledge and be a staff resource for the Banner modules related to the student functional areas.

Practice and enforce FERPA regulations, CVTC and WTCS board policy for all the above.

Conduct general Records & Registration student support and assist the team with duties that take priority for student success and support.

Advanced knowledge and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office, Outlook, Word, Excel, Teams, and Banner.

Qualifications:

Minimum of an associate degree in Professional Communications, English, Administrative Professional, or related field.

Minimum of two years of experience in customer service or professional office setting.

Higher education experience with direct experience working with student records and/or course registration preferred.

Experience with a student information system such as Banner preferred.
