Duties

You will serve as Secretary and principal office assistant to the Commanding Officer providing secretarial and office management support, and directing all program, administrative and support operations for the Command.

Being a Coast Guard civilian makes you a valuable member of the Coast Guard team. Typical work assignments include:

* Develops mechanisms for and manages ongoing clerical and administrative support for organizations.

* Produces travel orders and makes transportation and lodging arrangements and reservations for supervisor and immediate office staff when needed.

* Produces electronic files for CO/XO, and sometimes immediate office staff, including forms, memoranda, correspondence and similar narrative material, from draft typed materials, disk files, electronic network, and/or handwritten copy.

* Maintains command event and CO's calendar, recording all appointments, meetings and other commitments, including official social obligations, whether made by supervisor or personally

* Reviews incoming mail for distribution to immediate office members, determining items that can be referred to others based on subject matter, supervisor's priorities and policy, and/or established practices.

Qualifications

To qualify at the GS-8 grade level, applicants must have at least one (1) full year of specialized experience equivalent to at least the GS-7 grade level in the federal sector. Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.

Specialized experience must include the following:

* Reviewing and editing all outgoing correspondence;

* Preparing correspondence and other documents in proper grammar, spelling, punctuation, and format;

* Receiving visitors, maintaining files, incoming correspondence, typographical errors;

* Scheduling supervisor's activities, composing correspondence, resolving problems, locating information, organizing workflow of office;

* Following up on action items, requisitioning supplies, equipment, services for the office chief and staff;

* Identifying workflow problems, scheduling conflicts, and other situations with negative impact on organizational efficiency or effectiveness;

* Performing records management duties including developing, maintaining, verifying and evaluating existing systems;

* Performing advance office automation work; organize data into graph, spreadsheets, or other mediums of representation;

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

The Office of Personnel management (OPM) must authorize employment offers made to current or former political appointees.
