Sughrue Mion, PLLC, a leading internationally recognized Intellectual Property Law Firm, is seeking a Patent Prosecution Department Coordinator. This position will coordinate the day-to-day workflow functions of the Teams Department. Responsibilities include maintaining the necessary databases and spreadsheets related to workflow and ensuring the adherence to policies and procedures that are designed to meet the specific requirements of the clients. Acts as the primary point of contact in the absence of the Teams Manager.

This position is located in the Washington, DC office and is generally offered with a hybrid option of in-office and telework to employees residing in DC, MD or VA.

Maintain a secondary docket of all due dates and coordinate with the Teams Manager and Team to ensure that filings are completed in a timely manner

• Review, prioritize and maintain a log of incoming communication from the USPTO and resolve any issues regarding the incoming work

• Develop, implement and maintain current policies and procedures in a written format and communicate revisions and updates to the pertinent attorneys and staff

• Maintain departmental databases and spreadsheets

• Assist with scheduling and coordination of all departmental and group meetings

• Review of all client bills (debit notes) done by the Team. Discuss with Team various fixed fees and advise on which fees to use when necessary. Assist team members with resolving debit note issues

• Develop, implement and maintain a training program to ensure the continuous enhancement of the IP skills for Team members

• When necessary, preparation of USPTO filings and formality reporting letters

• Monitor, evaluate and revise workflow processes and procedures to improve efficiency

• Review and counsel Specialists, as needed, regarding their accuracy and productivity rates that do not meet the standard

• Daily communication with attorneys regarding our procedures and developing resolutions to any complaints or suggestions attorneys may have

• Quality Review of all work prepared by Team including preparation of documents and review of all attachments to filings and reporting letters (when applicable); proofread all documents prepared and review formatting of all documents

• Reports personnel issues and /or problems to the Teams Manager for handling

• Ensures enforcement and adherence of the policies and procedures of the department and firm; and reports any violations to the Teams Manager for handling

• Must 'lead by example' thereby necessitating self-adherence to the policies of the department and firm

• Performs other duties and assignments as assigned by the Teams Manager

Education:

• College degree preferred. Additional secretarial, business or technical training helpful

Experience:

• Minimum of 2 years of patent prosecution experience

• Previous supervisory experience preferred

• Knowledge of USPTO practices and procedures required

• Knowledge of EFS filings at the USPTO required
