Site Coordinator II, Westminster Tax Clinic
Part Time Position
POSITION SUMMARY:
The Site Coordinator oversees site operations at a Volunteer Income Tax Assistance (VITA) site. The Site Coordinator reports tax site progress to the Director. The Site Coordinator works with the Quality Reviewers to ensure that the site operates according to all guidelines. The Site Coordinator provides intake support to the Low-Income Taxpayer Clinic (LITC).
Part time position, January through April, 15hr/week. PRN position, May through December.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Operations
Oversee operational needs of a VITA site.
Communicate effectively with site staff and host organizations to manage any facilities support or scheduling issues.
Resolve tax return rejections in accordance with the IRS standards.
Address equipment, software, supply and other site needs in a timely fashion.
Communicate regularly with volunteers.
Execute site procedures according to IRS guidelines.
Manage workflow of tax site: set-up space; facilitate client sign-in and intake; ensure orderly and thorough screening process and reduce wait time.
Manage supplies and materials, keep files and supplies organized, and request supplies needed form the Director, when necessary.
Serve as a point of contact for clients to address questions or concerns about their experience at the tax site.
Provide on-site quality review of tax returns prepared.
Assist the Director with training the program participants.
Ensure WTC adherence to all IRS guidelines and rules, confidentiality policies, and rules of ethics and responsibilities.
Work evening and weekend hours during tax season, as needed and requested by the Director.
Provide intake specialist duties for the LITC.
Record and Document Management
Ensure security of confidential information.
Ensure proper reporting and record keeping.
Maintain file controls.
MINIMUM QUALIFICATIONS:
Bachelor's degree in Accounting or Business with a minimum of two years of directly related experience.
Experience with federal or state regulated programs and forms.
Strong verbal and written communication skills.
Excellent interpersonal skills.
Sensitive to cultural diversity and varying socio-economic backgrounds.
Ability to work flexible hours before, during, and after the tax season, including evenings and weekends.
PREFERRED QUALIFICATIONS:
Master's degree with an emphasis in Accounting or Taxation.
Bilingual proficiency (Spanish and/or ASL is preferred).
Basic troubleshooting software and hardware skills.
Prior VITA/LITC experience.
