Position Description:
Provide support and assistance to the Division, Program Manager, team members, and clients to accomplish program goals and objectives.
Primary job duties require exercising discretion and independent judgment with respect to matters of significance to the business.
Essential Functions:
- Assists Program Managers with planning and execution of customer programs.
Handles frequent contact within and outside the company on significant matters requiring tact, persuasion and negotiation skills. - Manage calendar for Manager and maintains team and company calendars; identifies and resolves potential scheduling conflicts.
- Arranges meetings, conferences, video conferences, and telephone conferences, including equipment prep and testing, attendance tracking, room setup and catering, preparation of agendas and presentation materials.
- Develops and supports meetings, workshops, conferences, video conferences, and telephone conferences,
- Prepares and distributes correspondence, reports, technical documents, minutes, brochures, posters, press releases and other informational material.
- Develops sufficient program knowledge to effectively interface with team members, clients, and other stakeholders.
- Manages, and responds to requests for program information via the program's general inbox.
Receives weekly inquiries from general public, other public or private agencies or organizations mainly via the program general inbox.
- Records research data.
- Responsible for the data entry and maintenance of accurate records for subcontractors, clients, and other stakeholders.
- Acts as the administrator for subcontractor, client, and stakeholder access and active DD2345 monitoring which includes being able to navigate the Joint Certification Program (JCP) website to find the appropriate information.
Categorizes, coordinates, and routes deliverable submission and approval messages in program inbox. - Assist with the development and maintenance of websites to communicate program information to the public and team members including development, updating, posting of documents and deliverables, maintaining access and password lists, e-mail lists and links to other sites.
- Coordinates program presence at tradeshows:
Prepares and produces informational materials:
Contract for booth space and services; Staff booth or assist with coordination of team member staffing; Prepares and distributes various brochures, posters, press releases and other informational material. - Provides Program Manager with support and assistance including drafting program related correspondence, reports, task descriptions, and deliverable tracking.
- Maintains electronic and paper files for programs in the business unit, including draft and version control, archiving and back-ups.
- Provides general administrative support to business unit team members.
- Works with the business unit and program team(s) on process improvement which includes but is not limited to tracking metrics.
Additional Responsibilities:
- Assists with the training of new associates on the policies, procedures, systems, and tools related to the business unit.
- Organizes the file plans for all business unit records - electronic and paper including draft and version control, archiving and back-ups.
- Assists with tracking specific budget items as assigned.
- Assists with the administrative management of proposals.
- Performs other duties as assigned by the Project or Program Manager and the division lead
Qualifications:
- Bachelor's Degree and two years related experience, or an Associate's Degree and four years related experience, or High School and eight years of related experience.
Minimum of one or more years' experience working in a program support role. - Communication skills, including presentations, technical reports, meeting management and work group management.
- Shows individual initiative and active engagement.
- Strong computer skills, including MS Office Suite.
- Demonstrated experience and skill at business writing, editing and formatting documents, and preparing presentation materials.
- Experience working as a member of a team of people engaged in tasks requiring teamwork and performance to schedules.
- Ability to travel to conferences and meetings required.
Weekend travel is very infrequent, but a remote possibility to support the client's needs for an early Monday or late Friday event maybe needed. - This position will need the ability to access US only data systems - US Citizenship is required.
