The School of Medicine has an outstanding opportunity for a TRUST, RUOP, and AHEC Program Specialist to join their team.

The Targeted Rural and Underserved Student Track (TRUST), Rural/Underserved Opportunities Program (RUOP), and Area Health Education Center (AHEC) Scholars Program Specialist will be responsible for the administration of three programs within the UW Office of Rural Programs at the UW School of Medicine (UWSOM):

The Targeted Rural Underserved Track (TRUST) is designed to train and prepare University of Washington medical students for future careers working in rural/small city under-resourced communities throughout Washington, Wyoming, Alaska, Montana, and Idaho (WWAMI). This longitudinal medical school experience matches interested students with expert physician preceptors located in targeted communities across WWAMI, allowing students to become an integral part of the system and form deep connections to their continuity sites. During their third year, TRUST students participate in a 22/24-week clinical education clerkship - the WWAMI Rural Integrated Training Experience (WRITE) - at their continuity site. The UWSOM accepts over 30 students in the TRUST program annually.

The Rural/Underserved Opportunities Program (RUOP) is a four-week, elective immersion experience in community medicine for students between their first and second years of medical school. During their month-long rotation, students live in rural or urban-disenfranchised communities throughout WWAMI. Students work side-by-side with local physicians and other health professionals providing care to under-resourced populations. RUOP is a collaborative effort of the UW School of Medicine's Office of Rural Programs, WWAMI university campuses and the Area Health Education Centers. Typically, 100-130 students participate in the program each year.

The Washington Area Health Education Center (AHEC) Scholars Program is a federally sponsored educational experience designed to bring disenfranchised health care students into the underserved health care arena. AHEC Scholars is an interdisciplinary program that includes students from multiple academic institutions across Washington. Up to 80 students are enrolled annually, including WA TRUST students for whom this work is synergistic.

This role implements academic, communications, and event priorities, ensuring timely completion of tasks and project milestones. The ideal candidate can build effective working relationships with Seattle-based and WWAMI-based stakeholders (in-person and remote), pivot as needed and is detail-oriented. This position requires substantial discretion, independent judgment, flexibility, and complex problem-solving skills.

DUTIES AND RESPONSIBILITIES

The TRUST/RUOP/AHEC Program Operations Specialist works closely with program leadership, administrators, faculty, and students to manage the operational activities of the TRUST, RUOP, and AHEC programs. Major duties and responsibilities include:

Operations Management - 50%:

Manage key administrative tasks for the TRUST/RUOP/AHEC Scholars programs to include coordination of programmatic communication, event logistics, and student/faculty tracking; triage appropriately.

Manage reimbursements and/or payments for student and ORP staff travel, event meals, and supplies.

Maintain and build program databases, ensure data accuracy; generate reports annually on student program progress and WWAMI site/preceptor engagement.

Design, develop, and publish content for various platforms, including program websites, learning management platforms (like Canvas), publications, email marketing campaigns, and programmatic newsletters in consultation with program directors and team.

Maintain and update program webpages annually.

Support a social media presence as needed.

Provide technical and logistics support for AHEC Scholars online evening classes (16 sessions - fall and winter quarters). Responsible for room reservations, catering, A/V and event resources as needed.

Track classwork and survey completion for TRUST/RUOP/AHEC Scholars program. Maintain regular communication with students to ensure that all course requirements are met.

Review and proofread RUOP student posters.

Participate in program planning and administration in collaboration with other members of the Office of Rural Program Staff team.

Other program administration duties as assigned. Stakeholder Management - 35%:

Acting as the key contact for the TRUST & RUOP programs, respond to programmatic inquiries from UWSOM Deans, WWAMI campuses, students, faculty, and community stakeholders. Route all other Rural programs related inquiries to appropriate staff, faculty, and leadership representatives.

Work with stakeholders across the WWAMI region and School of Medicine to develop, manage, and implement detailed work plans, policies, procedures, maps, and timelines related to the TRUST, RUOP and AHEC Scholars programs.

Own the administrative process for incoming and graduating WWAMI TRUST students to include credentialing oversight, assignment tracking, match data reporting, certificate generation and event assistance.

Participate in AHEC Scholars recruitment and training events.

Lead event planning for large, high-profile events to include the TRUST Leadership Retreat, Medical Student Poster Symposium, staff retreats, orientation, and graduation events.

Schedule and coordinate meetings with students, staff, and faculty both in-person and remotely (video teleconferencing).

Work in a team to develop and implement activities for student and faculty workshops, webinars, orientation, and debriefing sessions. Program Evaluation Management - 10%:

Manage the evaluations timelines and process for both the TRUST and AHEC programs; ensure accurate and appropriate evaluations are available to students, preceptors, and community partners. Evaluations span across multiple cohort.
