This position reports to Chief and/or Deputy Chief Administrative Officer in the Mayor's Office and is responsible for managing projects, research, and analysis.
Examples of Work
Develops detailed project plans and serves as the point of contact on the project when multiple departments are assigned to the same project to ensure team actions remain on track for assigned deadlines.
Communicates with the Administration and the departments to keep the project aligned with its intended goals and objectives.
Measures project performance using appropriate systems, tools and techniques.
Creates and maintains comprehensive project documentation and adjusts schedules and targets on the project as needs for projects change.
Ensures projects are organized and on time.
Prepares correspondence, reports, and communications, and conducts research as appropriate.
Prepares materials for meetings, drafts and accurate final versions of reports, forms, documents, and memoranda.
Handles special projects and tracks special initiatives as requested, compiles and analyzes data, studies problems and develops or suggests solutions.
Reports and escalates to management as needed.
Provides administrative support to both the Chief Administrative Officer and the Deputy Chief Administrative Officer.
Analyze and interpret complex data sets to identify trends, patterns, and insights that inform business decisions.
Collect, clean, and validate data from various sources to ensure accuracy and usability.
Conduct exploratory data analysis to identify trends, patterns, and areas for improvement.
Knowledge, Skills and Abilities
Knowledge of basic project management principles and practices.
Knowledge and use of personal computers, Microsoft Office applications, word processing, project management and presentation skills required.
Ability to communicate effectively, both verbally and in writing.
Strong problem solving and analytical skills.
Ability to plan, schedule, and coordinate in an effective manger, projects involving other city departments and outside agencies in a timely manner.
Ability to maintain confidentiality.
Ability to think critically.
Open Requirements/Supplemental Information
A six year combination of education, training, or experience in public administration, project management, communications or a closely related field.
Preferred:
Bachelor's degree.
Lean Six Sigma black, green or yellow belt.
