Overall Responsibilities of the Events Coordinator:
Main point of contact for planning, scheduling, organizing, managing, evaluating, and providing supervision of recreational facilities, events of a special nature, live entertainment, and other related programs, including but not limited to: Making facility reservations (i.e., shelters, lower lodge & pavilion, event center etc.) including contracts, deposits.
Collaborate with clients to plan and organize events, including weddings, corporate meetings, parties, and other special occasions. Work closely with the venue's facilities team to ensure the space is set up according to client specifications.
Coordinate with vendors, such as catering services, decorators, and audio-visual technicians, to meet event requirements.
Create detailed event timelines, outlining all aspects of the event from setup to breakdown. Be prepared to handle unexpected issues or changes in plans during events.
Quickly address and resolve any problems that may arise to ensure a seamless experience for clients and guests.

Submitting work orders for repairs and events.
Schedule weekly staff assignments based on weekly events.
Rodeo prep for ticket sales, rodeo contestant parking and concessions.
Actively participate in Supervisory staff meetings.
Ensure that every Events Team employee (including self): Meets or exceeds Member service expectations, projects positive, smiling, professional communication and demeanor always; and stays calm in difficult situations.
Ensures the safety of all participants and groups.

Complies with the Hart Ranch Camping Resort Employee Handbook and Employee Safety Manual, as well as with the By-Laws and Policies. Work with the marketing team to promote the event center and attract potential clients.

Utilize social media, online platforms, and traditional marketing methods to increase the venue's visibility and bookings. Including photography, video, other media available.
Ensure all Events Team staff are consistent with HRCR policies and procedures, as well as State and Federal Laws. This includes, but is not limited to:
Hiring, training, coaching, and counseling, disciplining, terminating, conducting performance evaluations, and rewarding employees.
Establishing standards and procedures for the work of Events staff.
Provides timely and accurate inter-departmental and public information such as: input to budgets, including staffing numbers and relevant material resources; purchase orders; credit card receipts; nightly deposits, inventory, employee time reporting; requests for data/information; responding to inquiries; etc.
Develop and implement new ideas for events.
Assist with details on sponsorship accounts
Perform other duties as assigned.

Requirements

Reports to: Area Manager

Classification: Year-Round Full-time Hourly Non-Exempt

Job Requirements: Minimum of high school education or equivalent. Motivated self-starter. Ability to lift 50 pounds. Frequently required to stand; walk; sit; use hands to manipulate, handle, or feel; reach with hands and arms; climb or balance and stoop, kneel, twist, crouch, or crawl. Must be able to work all shifts, weekends, holidays & special events as needed. Hold a valid state driver's license and maintain a satisfactory driving record. Must have a strong basic working knowledge of Microsoft Word, Excel, Outlook, and Power Point. Point of sale system knowledge helpful.
