Job Title: Part-time Operations Coordinator
Location: Washington Policy Center
Reports to: Operations Director
Hours: 20 hours per week
Position Type: Part-time, Non-exempt
Position Overview:
Washington Policy Center (WPC) is seeking a motivated and detail-oriented Part-time Operations Coordinator to support our organization's financial and administrative operations. This role is essential to the accuracy and efficiency of our accounting, office management, and administrative workflows. Reporting directly to the Operations Director, the ideal candidate will be dependable, proactive, and possess strong organizational and communication skills.
This role requires a minimum of three to four days per week in the Seattle office.
Key Responsibilities:
Accounts Payable (A/P):
Record all accounts payable and related expenses.
Collaborate with staff to complete the expense approval workflow.
Ensure timely payments and provide detailed monthly expense reports to department heads.
Accounts Receivable (A/R):
Record all contributions to WPC accurately.
Work with the Development Team to reconcile accounting and fundraising databases.
Office Management:
Oversee office equipment and provide basic IT troubleshooting, including for the phone system, copier, mail machine, and Methodworks.
Manage office supplies and handle inventory.
Retrieve mail on Monday, Wednesday, and Friday, and monitor the WPC email inbox.
Answer the main phone line and assist callers as needed.
Administrative Support:
Assist with various administrative tasks as directed by the Operations Director and Operations team.
Qualifications:
Strong organizational and time management skills, with excellent attention to detail.
Proactive communication skills, able to provide regular updates to the manager.
Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to work independently and productively in a team environment.
Dependable and able to manage multiple responsibilities efficiently.
A personal vehicle for mail pickup and availability in the Seattle office 3-4 days per week.
Familiarity with accounting processes and/or office management preferred.
Positive, team-oriented attitude with a commitment to WPC's mission and values.
