The Job Details: We are seeking a highly organized and proactive Receptionist to support our office operations. This individual will handle various tasks to ensure the smooth functioning of daily activities, maintain efficient communication, and provide assistance to employees as needed. This role is ideal for someone who enjoys supporting a dynamic team, managing administrative tasks, and ensuring the office operates smoothly. Key Responsibilities:

Answer Phone Calls:
- Serve as the first point of contact for incoming calls.
- Direct calls to the appropriate departments or employees.
- Take messages and relay them promptly to the relevant person.
Receive Packages and Mail:
- Accept and sign for incoming packages and mail.
- Sort, organize, and distribute mail to the correct recipients.
- Ensure packages are handled with care and delivered to the intended employees or departments.
Open and Process Mail:
- Open and review incoming mail to identify important documents.
- Distribute mail and important documents to the appropriate parties within the company.
Inform Employees of Guest Arrivals:
- Notify employees when guests or visitors arrive at the office.
- Maintain a visitor log for security and tracking purposes.
Notify Employees of Package Deliveries:
- Alert employees when packages arrive for them.
- Ensure packages are picked up or delivered promptly.
Handle Maintenance Calls for Building Issues:
- Receive and log maintenance-related requests and issues from employees.
- Coordinate with building management or maintenance staff to address issues.
Coordinate Employee Badge Access and Parking Passes:
- Assist in the creation and distribution of employee access badges.
- Manage and issue parking passes for employees as needed.
- Ensure all access and parking credentials are up-to-date.
Create New Employee Name Tags:
- Design and produce name tags for new employees.
- Ensure that name tags are distributed appropriately for easy identification.
Create UPS Labels for Shipments:
- Prepare UPS labels for outgoing packages upon request.
- Coordinate the timely pickup or drop-off of packages for shipping.
Order Office Supplies:
- Inventory and order office supplies as needed.

Reports To: Corporate Procurement Manager

What We Are Looking For:

Education:

High School Diploma or GED

Experience:

Excellent organizational skills with an ability to multitask and prioritize effectively.
Strong verbal and written communication skills.
Proficiency in office software (e.g., Microsoft Office Suite, email systems, UPS shipping software).
Ability to work independently and as part of a team.
High attention to detail and accuracy.
Previous administrative or office experience preferred.

Follow posted security procedures at all times while in the building.
Participate in Safety and Educational Training.
