Overview

Works closely with Pediatric Ambulatory clinic leadership team, to include Vice Chair of General Pediatrics, General Pediatrics Clinical Lead, and Medical Director of Pediatric Specialties Ambulatory.
Coordinates and oversees assigned programmatic administrative functions, data systems, and process improvement projects for the Pediatric ambulatory clinics including general pediatrics and pediatric specialty sections.
Assists in coordinating multiple schedules, setting up meetings, meeting note taking, and coordinating CME and expense submissions.

Responsibilities

Provides administrative support to Pediatric ambulatory clinics leadership team, including the coordination and facilitation of administrative operations.
Screens and assigns priority to correspondence, meetings, requests, and inquiries for the Vice Chair of General Pediatrics, General Pediatrics Clinical Lead, and Pediatric Specialties Ambulatory Medical Director.
Assumes responsibility for appointment scheduling, reports, and maintenance of administrative files, data entry and other administrative and clinical support projects for the Pediatric ambulatory clinics.
Identify, plan, coordinate, collect and analyze data, develop, and report out various opportunities on projects given by Pediatric ambulatory clinics leadership team, to improve clinic flow and productivity.
Coordinates and supports the work of the Pediatric ambulatory clinics including administrative support, productivity, and system reporting.
Assists in the development, implementation, and maintenance of structures and processes which support clinical and non-clinical improvement efforts.
Overseeing the collection, storage and analysis of applicable data, and complies within external and internal policy and procedure requirements.
Assist in assessing administrative functions, to provide areas of opportunity for process improvement to Pediatric ambulatory clinics leadership team.
Lead process improvement initiatives, given by the Pediatric ambulatory clinics leadership team, to include tracking, measuring, maintaining deadlines, and reporting data from process improvement initiatives.
Serves as resource person who is able to direct persons and inquiries, provide information, and recognize and assess developing situations of significance to the overall functioning of the Pediatric ambulatory clinics.
Participate, as needed, in strategic and operational planning forums and processes.
Coordinates the RSS CME meetings from creation to providing the codes to attendees for Pediatric Neurology and Pediatric Gastroenterology.
Participates in the design, development, and monitoring of productivity and informational administrative systems needed to facilitate efficient operations.
Assists in the development of process improvement and data collection, maintenance and reporting systems for the department.
Composes drafts of selected correspondence, special studies, and/or finishes documents.
Oversees food order and room requests for meetings each week to include food shopping and working with conference services for space.
Coordinates tracking systems as requested by the ambulatory practice managers for departmental projects.
Performs other duties as required or assigned.

Qualifications

Associates or Bachelor's degree with 2 years of related experience or the equivalent in education and experience required.
Proficient in Microsoft Office tools and knowledge of medical terminology.
Exceptional written and verbal communication skills.
Exceptional proofreading skills.
Ability to work independently, assess priorities and organize workload.
Ability to take initiative, and coordinate in a team.
Ability to recognize, set and fulfill high standards and have strong attention to detail.
