Key ResponsibilitiesFinancial Administration

Process resident bank receipts and assist with pulling accounts payable (A/P) invoices
Post A/P transactions and manage check mailings
Locate and enter W9 information for new vendors
Gather, enter, and process all A/P information from multiple campuses
Allocate credit card expenses across campuses and ensure proper documentation
Collect receipts, ensure correct coding, and manage sales tax entries

Office Management

Greeting visitors and walk-ins warmly, ensuring a positive first impression
Answer and direct phone calls professionally and efficiently
Manage high-level tasks related to the copy machine and printer, including troubleshooting
Assist with label printing and other administrative tasks as needed
Process incoming and outgoing mail promptly and accurately
Order and maintain an inventory of stationery and office supplies to ensure availability
Oversee the scheduling and availability of company cars

Qualifications

High school diploma or equivalent; additional education or certification in office administration is a plus
Proven experience in an administrative or office assistant role, preferably in healthcare or a related field
Strong organizational skills with attention to detail and the ability to multitask
Excellent communication and interpersonal skills
Experience with accounts payable or financial processes is preferred
