Position DescriptionDEFINITION:
This position provides administration of the CFCC Foundation's scholarship program, ensuring student success and donor connectivity. This position is responsible for accurate and timely administration of all scholarship and student financial support funds held at the Foundation. Work is stated in terms of objectives requiring project planning and judgement. This position requires an individual who is highly detail-oriented, organized, and who can work independently. Assignments may be broad in nature requiring creativity and ingenuity; incumbents may have overall project responsibility and act as a technical authority on assigned projects.

*This is a Time Limited, Temporary Full Time Grant Funded Position. Position ends December 2026 with potential to be extended*SUPERVISION RECEIVED AND EXERCISED:

  • Receives supervision from the Executive Director of the Foundation
  • Exercises no direct supervision of staff
Duties & Responsibilities (Essential Functions)ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS:
Essential and other important responsibilities and duties may include, but are not limited to, the following:

Scholarship Administration:
  • Administer awards for Foundation student scholarships based on established processes and signed donor criteria.
  • Manage the Scholarship database for the Foundation, Awards Management (Blackbaud).
  • Work in collaboration with the Advancement Business Specialist to monitor and prepare scholarship projections and accurate expenditure reports of all scholarship funds awarded to students.
  • Assist in ensuring correct database input and regular maintenance of scholarship criteria and corresponding donor/student information by regularly reviewing all new scholarship criteria and donor information.
  • Administer the Student Emergency Fund, including staff coordination for application review and student/vendor coordination for payment of funds.
  • Design and maintain cloud-based database services, including online forms, applications, custom forms, reporting, and program applications in Awards Management, Google Forms, and others.
  • Ensure Foundation-run scholarship and student financial support activities operate consistently, ethically, and all CFCC spending guidelines are upheld within the mission of the Foundation and the College.
  • Assure integrity of Foundation scholarships by conducting annual criteria and process audits to ensure scholarship criteria is upheld and funds are available and awarded within Awards Management software, per donor agreements.
  • Evaluate and enhance procedures and policies to improve day-to-day operations and increase productivity. Develop Standard Operating Procedures for Foundation scholarship awarding processes.
  • Conduct training and provide technical support for staff and Scholarship Review Committee for working in the Blackbaud Awards Management scholarship database.
  • Ensure seamless transfer of information from Foundation fundraising staff to donors by maintaining constant and clear communication with the team on scholarship award status throughout the year.
  • Prepare reports for CFCC Foundation scholarship awards, as requested.
Student Success:
  • Execute all efforts to communicate with students about scholarship opportunities and other sources of funding through the CFCC Foundation, including in-class presentations, scholarship workshops, emails to students, advertising available scholarships and deadlines, etc.
  • Collaborate with the Community Relations Department to develop marketing strategies and literature to promote awareness of scholarship opportunities for students.
  • Select and coordinate student speakers for various CFCC Foundation events and donor meet-and-greets.
  • Work with the Financial Aid, Admissions Offices, and Community Relations Department to promote and award scholarships.
  • Serve as first point of contact for students, faculty, and Financial Aid team regarding scholarship awards and other student financial support, including working directly with students applying for financial assistance from the Foundation.
  • Connect regularly with faculty and staff to ensure opportunities for financial support of students are consistently communicated.
  • Maintain a listing of current external scholarships for students to access.
  • Support Foundation leadership by producing custom reports and queries for analysis.
  • Perform other duties and responsibilities as required.

  • Strong verbal and writing skills, including a meticulous attention to detail.
  • Ability to create, organize, and maintain complex systems of administration and reporting.
  • Proficiency with Database Management, preferably Blackbaud software.
  • Ensure donor confidentiality and student privacy.
  • Perform support work as assigned including special projects, special reports, responses to inquiries, etc.
  • Serve on committees and provide administrative support when necessary.
  • Provide assistance to students.
  • Assist other staff and faculty.
  • Engage in professional development.
  • Assume other duties as assigned.
QualificationsQUALIFICATIONS:Skills: Successful candidate must possess exceptional problem-solving, analytical, verbal, and written communication skills; have the ability to perform highly detail-oriented work with a critical degree of accuracy regarding data entry and analysis. Must practice good interpersonal and organizational skills, prioritize tasks, and perform multiple tasks simultaneously while adhering to deadlines; take responsibility, work well as a team member, while also working independently. Must be able to understand and follow directions and complex policies and procedures; review and analyze data problems and suggest changes to data entry procedures in order to minimize data reporting errors; and handle confidential data.
