Position Title: Administrative Assistant II, Special Education

Assignment Location: Dakota County Technical College in Rosemount, MN , in theTransition Education Service Alternative (TESA) , Dakota Alternative for Severely Handicapped (DASH), Students with Unique Needs (SUN) Program

Hours per Day: 8. 0

Schedule: 7:00 a. m. to 3:30 p. m. , Monday through Friday, 226 days per year

Anticipated Start Date: ASAP

Starting At: $22. 61 per hour, per the Office Professionals contract (2024-2026 contract is almost finalized)

POSITION OVERVIEW:

Under the supervision of the Assistant Director/Principal, the Administrative Assistant II completes various data entry requests, maintains records, reports, database records and files, provides general information for staff, students, parents, and the general public, and performs related work as apparent or assigned. In this role, the administrative assistant must utilize knowledge of business English, spelling and arithmetic, organizational skills coordinating work flow and activities, and general knowledge of office equipment, computers, and various software programs including accounting software. The individual in this position has the ability to analyze and interpret policy and procedural guidelines. He or she must be able to type at a reasonable rate of speed, prepare effective and correct correspondences on routine matters, and perform routine office management details without referral to his or her supervisor. In this role, it is vital to communicate clearly and effectively, both orally and in written format, and to resolve problems and inquiries in a manner that establishes and maintains an effective working relationship with school personnel, students, parents, and the general public.

RESPONSIBILITIES:

Perform program-specific administrative functions; compose, review, and edit correspondences and reports with consistency.
Complete financial transactions with public and district personnel.
Act as a resource and secretary for department staff, assisting them with their daily duties and preparing presentations, notes, and publications for their review.
Act as a resource for parents, students, non-district staff, and the general public to provide information and facilitate access to and collaboration with district programs and services.
Obtain and maintain student records; process applications and record requests.
Answer phones, transferring calls or taking messages.
Coordinate purchase of supplies and monitor/track budget expenditures.
Assist in recording, updating, and maintaining files.
Coordinate arrangements and communication supporting student transportation to district programs.
Coordinate District van check out/in and annual van inspections.
Performs other job-related duties, as assigned.

QUALIFICATIONS:

High school diploma or GED with some experience working as an administrative assistant with mid- to high-level responsibilities; administrative assistant experience in a school setting preferred.
Self-starter with a positive attitude.
Evidence of good communication skills, written and verbal, and good organizational skills.
Evidence of excellent computer skills, working with Word, Excel, and Google Docs.
Ability to learn a variety of web based programs such as SPED Forms, Infinite Campus, and TOC.
Ability to problem solve and arrange staff coverage in coordination with Frontline, our staff attendance system, under short-notice deadlines.
Ability to work as a team member with staff, parents, and community members.
Ability to interact and build positive relationships with students of varying ability levels and skills.

PHYSICAL REQUIREMENTS:

Work regularly requires sitting and frequently requires reaching with hands and arms.
Occasionally requires exertion of up to 25 pounds of force, standing, walking, crouching, pushing or pulling, and lifting.
Work has standard vision requirements; vocal communication and hearing is required for expressing or exchanging ideas and perceiving information.
Work is generally in a moderately quiet location.
