About the Job
The Division of Transplantation within the Department of Surgery at the U of MN Medical School is looking for a Program/Project Specialist to join the administrative team. Our Division's administrative team includes the Division Administrator, the Administrative Associate, and 2 x Program/Project Specialists. The primary function of this position is to provide direct administrative support to the faculty of the Solid Organ Transplant Division in the Department of Surgery. In addition, this role will work as part of a team with other administrative staff to plan and organize events & projects, maintain administrative processes, and schedule surgeries & assist in coordinating patient care.

The successful candidate will have excellent communication skills (written, verbal, etc. ), a strong ability to prioritize work, exceptional attention to detail and follow-through, strong critical thinking skills and judgment, a strong and proactive customer service orientation, and the ability to work both autonomously and as part of a team. This position does have the flexibility to be hybrid. The salary range for this role, determined by the AFSCME 3800 Clerical Unit 6 contract is $24. 07-$35. 41 per hour. A wage offer will be determined based on experience, qualifications & internal equity. The Program/Project Specialist in the Division of Transplantation is supervised by the Division Administrator. Specific duties of this position include:

Administrative Support for Faculty (70%):
• Manage a high volume of emails and requests with complex requirements ensuring accurate and efficient time management in a dynamic environment. (Applications used: Google Suite)

* Schedule meetings and manage academic and clinical calendars; anticipate and resolve conflicts as they arise; use discretion to make decisions on which meetings are required and optional. (Applications used: Google Calendar, Qgenda, Epic).
• Process timely reimbursements for dues, fees, and travel as well as monitor and track finances. (Applications used: EFS/PeopleSoft, ChromeRiver)
• Routinely maintain research documents such as Curriculum Vitae, NIH Biosketches, NIH other support documents, etc. (Applications used: word processing system, Works).
• Format and submit manuscripts and abstracts to academic journals as well as conferences. (Applications used: word processing system, reference managers).
• Organize travel and speaking engagements for faculty and other staff as assigned.

Surgery Scheduling & Coordinating Patient Care (15%):
• Collaborate with the MHealth Fairview clinical transplant office and others across the matrixed MHealth enterprise to assist in coordinating patient care, scheduling surgical procedures, etc.

Special Events & Projects (10%):
• Act with independence and authority to create timelines, monitor workflow from development to completion. Develop and maintain administrative systems such as databases and filing systems.
• Help to organize speaking engagements, conference attendance and other travel for visiting professors and guests of the transplant division.

Other duties as assigned and as they arise (5%)

Qualifications

All required qualifications must be included in the application materials

Required Qualifications:

• High School Diploma/GED and 5 years of related experience to include project management. Coursework in a related field may substitute for some years of experience.
• Experience providing direct administrative support to high level professionals, leaders, or executives in a medical or other highly specialized setting.
• Proficient in electronic calendaring, email and scheduling applications.
• Intermediate level knowledge of Microsoft Office and other common office applications
  
  

Preferred Qualifications:

• Prior University of MN work experience with knowledge of the Medical School and University policies and procedures.
• Familiarity with higher education administrative, academic, and research practices.
• Interested in academic medicine and working with surgeons, patients and allied health professionals.
• Ability to multitask, manage competing priorities and independently problem solve.
• Experience with University & Medical School applications including, but not limited to Google Suites, Enterprise Financial System/Peoplesoft, QGenda Scheduling, EPIC, Microsoft Office.

Pay and Benefits

Pay Range: $24. 07 - $33. 65 per hour depending on education/qualifications/experience
