We are seeking a detailed and team oriented Administrative Assistant to provide administrative support to the Chief Executive Officer (CEO), Chief Operating Officer (COO), and Executive Coordinator. You must be adaptable to a fast-paced environment with changing priorities in addition to being self-motivated, strong organizational and communication skills. This is a full-time position, Monday - Friday between the hours of 8:30 AM - 5:00 PM.

The hourly range for this position is $22.00 - $24.00. Pay is based on years of relevant experience.

Responsibilities:

Support CEO, COO, and Executive Coordinator with day-to-day operations
Performs wide range of administrative and clerical tasks such as maintaining and updating the phone directory, printing the CEO's schedule, preparing personal staff cards on behalf of CEO, and meeting preparation (making copies, prepping folders, reviewing documents)
Assist in coordinating and preparing events such as employee appreciation, holiday parties and other events.
Manage Voyage Healthcare clothing orders/inventory, pens, magnets and marketing inventory and purchasing/distributing process
Assist in organizing and manage sorting of all credit card and other receipts folder for finance
Maintain all filing of staff and Provider files including managing of year-end filing and turnover of back employee filing room
Create monthly birthday, anniversary, and kudos announcements for internal communication boards
Manage all office maintenance
Order all office and breakroom supplies
Maintain Executive Assistant training binders, including updating and tracking of standard operating procedures
Provide back up support to Executive Coordinator
Performs other duties as assigned by CEO, COO, and/or Executive Coordinator

Requirements:

Previous administration experience preferred
Excellent oral/written communication, and organizational skills
Must be able to establish rapport and effective working relationships with Providers, Managers, and all clinic administrators
Must be able to prioritize multiple responsibilities and manage a large workload within tight deadlines
Excellent problem-solving skills and self-motivated
Ability to independently plan, organize, prioritize, schedule, coordinate, and make decisions relating to assigned tasks
Confidentiality in the work place
Excellent knowledge of MS Office
Creativity is a plus!
