DescriptionGeneral Summary:

Under the supervision of the Juvenile Division Director/Referee and the oversight of the Juvenile Register, assists in processing and maintaining the records of the Juvenile Division. Participates in the intake, review, filing and entering of documents related to juvenile delinquency, adoption, neglect, and other juvenile matters. Opens and maintains files in the computer system. Schedules hearings as necessary. Receives and receipts payments for reimbursement of court ordered fees.

Essential Functions:

Receives, reviews, and files documents related to juvenile delinquency, neglect, adoptions and other juvenile matters. Opens case files and new petitions, obtains preliminary hearing date, appoints legal counsel as requested or mandated, and completes other steps necessary to initiate case.

Sets the court calendar and schedules for the Referee. Coordinates scheduling with the attorneys and other involved parties and ensures compliance with mandated time frames. Keeps the calendar and docket system up-to-date. Prepares all notices necessary for court hearings.

Reviews files and ensures their readiness for action before the Referee, ensures proper noticing. Ensures that all orders and forms are properly completed, and sees that hearing dates are set.

Enters hearing information to the automated system and updates information as necessary. Enters juvenile case information to the system including information on the petition, parties, and the event information from the complaint, notice of hearing, and other documentation.

Collects reimbursement of fees to the county for court-ordered fees from parents/guardians of juveniles. Enters financial orders to the system, and receipts monies collected from court orders. Follows up on cases of noncompliance including the scheduling of orders to show cause. Attends show cause hearings and prepares orders following the hearing.

Answers the telephone and greets visitors, responds to questions regarding court procedures and case processing information.

Assists with clerical support tasks in the Juvenile Division, including typing correspondence and other documents, preparing orders, processing mail, processing and mailing statements, maintaining files and performing other duties as needed.

Assists in maintaining all records and files of the Juvenile Court, including court legal and social files, computer case management system, placement records, and annual caseload reports.

Performs the functions of the Juvenile Register in the absence of that individual.

Researches Michigan law and statutes to ensure documents filed are done so according to required law and statute.

Performs a variety of office related functions.

Performs other duties as required.

Position RequirementsEmployment Qualifications:Education:

A high school diploma with supplemental vocational coursework in office techniques or a related field.

Experience:

Two years of clerical responsibility, ideally in a court setting.

Other Requirements:

Experience and proficiency in Microsoft Office Suite applications.
