Saint Joseph's College of Maine seeks a dynamic individual for the position of Enrollment Support Specialist. This position supports the division of Academic Center of Excellence by:
providing Tier 1 and 2 support for the Registrar's Office, Student Accounts, and Financial Aid (i. e. Enrollment Service Areas); being responsible for answering Tier 1 & 2 enrollment readiness inquiries (Online Students); and serving as a key member of institutional efforts.

This position is located on campus and will serve our on-campus and online students. This person is expected to be self-directed, demonstrate initiative, and follow standard operating procedures. Occasional evening or weekend work may be required.

Provides Tier 1 and 2 support for the Registrar's Office, Student Accounts, and Financial Aid (i. e. Enrollment Service Areas) by:

Being the face of a one-stop student services area for students, their families, and our alumni supporting a smooth experience related to their enrollment, academic records, financial aid, and student account needs. Answer questions, provide information and resources, and identify their next steps
Monitoring and managing inbound telephone, email, and in-person inquiries for student accounts, financial aid, and registrar
Resolving questions related to registration readiness
Informing the Associate Dean of retention and/or persistence barriers
Collaborating with Enrollment Service Areas for cross-training
Approving scholarship checks; ensuring student follow through for disbursement of scholarships
Processing payments, providing receipts and statements, handling mail, and filing documents as needed to support Enrollment Services areas
Assisting with scholarship waivers for transcripts
Assisting with requests for transcripts, major and minor changes, course withdrawals post add/drop period, general walk-ins, FERPA releases in Pinestand, and transfer credit evaluations from the Registrar's Office
Collaborating with different departments across campus and online to resolve enrollment challenges
Keeping stakeholders updated on student registration status, financial issues, and registration holds
Updating communication logs in the Student Information System
Providing support for other enrollment and registration inquiries as needed

Responsible for answering Tier 1 & 2 enrollment readiness inquiries (Online Students) by:

Sharing registration dates, academic calendars, term start and end dates
Reviewing the current financial status through billing statements
Helping students meet employer tuition sponsorship requirements by providing necessary invoices or statements to the student
Addressing inquiries related to tuition, fees, and payments
Guiding self-payment methods via SIS or facilitating phone payments
Proactively reaching out to students regarding registration holds for necessary payments or document submission
Communicating with students about missing financial aid documents awaiting disbursement
Receiving invoices and offering updates on their status
Serving as a connection among online advising, admissions, billing, and financial aid departments to ensure smooth registration processes based on financial standing

Serves as a key member of institutional efforts by:

Attending and assisting at events for prospective, admitted, and new students as needed
Assisting with retention initiatives as needed; i. e. reporting, summit, etc.
Managing training, scheduling, and payroll approval for student workers
Serving on committees both formal and ad hoc as assigned
Represent the College and/or campus at recruitment and/or student aid events for prospective and current on-campus students, such as high school visits, open houses, campus tours, and college fairs as needed

Knowledge, Skills, Abilities:

Promotes and practices the values of the College and the Sisters of Mercy
Intermediate knowledge of computer programs including Microsoft Word, Excel, and Google Suite programs, knowledge of CRM software preferred
Demonstrated organization and time management skills, including the ability to effectively prioritize tasks
Ability to collaborate with multiple departments
Proven training, coaching, and mentoring abilities
High level of customer service, interpersonal, and communication skills
Excellent organizational, and multi-tasking skills and a high level of attention to detail
Ability to work closely with online and on-campus students to address enrollment needs
Strong interpersonal, written, and verbal communication, and creative problem-solving skills
Ability to track intake statistics for phones, walk-ins, and outreach activities
Ability to work in a fast-paced environment, both as part of a team and independently
Possesses a positive attitude to foster a cohesive working environment
Ability to maintain confidentiality and discretion, according to FERPA guidelines
Tolerates work-related stress effectively, maintaining professionalism and adherence to core values in all interactions

Education and Experience:

Bachelor's degree required. One or more years of related experience, including experience working with adult learners, is desirable.
