The Prince George's County Office of Management and Budget is currently seeking qualified applicants to fill an Administrative Aide IV, grade G19.

About the Position

This is para- professional level position responsible for the administrative support of the Deputy Director, Managers, and Budget Analysts. The incumbent treats all work and personnel related matters as strictly confidential. Confidential information may not be discussed with other County employees (including individuals in the OMB) except for work related reasons, under terms and conditions of the Maryland Public Information Act. The incumbent exercises the best practical and professional judgment to accomplish targeted key results aligned with divisional goals, objectives, and priorities. The incumbent in this position must be available to work on evenings or weekends to ensure that the County's budget is prepared and ready for submission, as required by the Director and/or her designee. Due to the nature of the duties and responsibilities of this position, it is considered "essential". Essential employees may be required to report to their designated work location to ensure the essential functions and operations are continued when the county is closed due to inclement weather or hazardous conditions.

About the Agency

The Office of Management and Budget supervises the County budget and provides expert guidance to agencies and administration on County fiscal policies, management analysis, and legislative and regulatory affairs.

Examples of Work

Works with other administrative staff in production of county budget documents (Current Expense Budget, CIP, and Budget in Brief)
Types, edits, formats and assembles the proposed budget book.
Assists in the preparation process of the proposed budget book for print.
Formats and disseminates agency responses for council questions to proposed budget.
Writes copy for some technical sections of the county's budget documents.
Assists the Deputy Director, Managers, and Budget Analysts in task that require typing, faxing, scanning or any other process.
Assists in the processing of the county's various grant programs for the County Executive's Office, County Council, and other grant programs.
Receives visitors, phone calls, in-coming mail, and maintains calendars and schedules meetings.
Acts in the absence of the Executive Administrative Aide.
Assists in managing the Director and Deputy Director calendars.

Qualifications

Must have experience at the Administrative Aide III level equal to the length of the probationary period; or Associate's degree in Business Administration or Secretarial Science.
Two (2) years of advanced secretarial/administrative experience which involved working with the public, office management, operational details, and some supervisory responsibilities; any equivalent combination of relevant training, education and experience will also be accepted.
Applicants must be proficient in typing and shorthand where required.

Skill in establishing and maintaining effective working partnerships across divisions or departments.
Strong attention-to-detail and organizational skills.
Demonstrated ability to be flexible and adaptable to change.
Advanced experience with Microsoft 365 Office applications, including proven strength in using spreadsheets, databases, and presentation applications, including Microsoft Excel, Word, Outlook, PowerPoint, One Drive and SharePoint.
Experience with using Adobe software products (e. g. Adobe Reader, Pro and Framemaker).
