The Prince George's County Police Department is currently seeking qualified applicants to fill a vacant Administrative Aide III, Grade P17, in the Records Management Division.

About the position
This is highly responsible and advanced secretarial/administrative work designed to relieve an important official of administrative detail. Work at this level is distinguished from the II level by lead work responsibilities and more involvement in coordinating and manage office activities. Incumbents are required to apply a good working knowledge of the programs under supervisor's control to the solution of procedural and management problems.

Examples of Work

  • Performs advanced secretarial/administrative duties that may include liaison, and coordinative functions.
  • Maintains an appointment calendar and schedules appointments for the supervisor, and for professional staff when required.
  • Plans, develops, organizes, and implements methods and procedures for day-to-day office operations.
  • Interviews citizen complainants in order to determine jurisdiction, nature, and validity of complainants; resolves complaints or refers them as appropriate.
  • Organizes, coordinates, and disseminates information to County employees, citizens, civic groups, government officials, and others.
  • Responsible for the maintenance of the office filing system.
  • Performs tasks and duties which may not be specifically listed in class specification or position description, but which are within the general occupational category and responsibility level typically associated with the employee's class of work willingly and cooperatively.
  • Maintains Personnel files securely and only releases information according to GOM or Personnel Law.
  • Processes employee time and maintains records/files of Division payroll and personnel matters.
  • Determines when additional files need to be created. Maintains files and disposes of files in accordance with the Departmental Retention Schedule.
  • Documents when summonses are received, notifies appropriate employee, and maintains a record of the employee's signature when he/she receives the summons(es).
  • Maintains electronic mail log to document incoming/outgoing correspondence as well as action taken and disposition.
  • Maintains tickler file on current/outstanding matters, keeping the Manager apprised of due dates and ensuring their timely completion.
  • Prepares correspondence and forward to the appropriate personnel. Proofreads correspondence for accuracy and adheres to the departmental policy and procedures.
  • Composes routine replies to the requests for the signature of the Manager within the necessary time frame.
  • Keeps abreast of changes in format for correspondence, forms, dissemination, and chains of command to ensure all outgoing documents are prepared according to current directives or guidelines.
  • Uses judgment in determining which items require the direct attention of the Manager.
  • Processes work order requests, printing requisitions, acting pay forms, filing, and quarterly supply ordering according to established procedures of the department.
Qualifications
  • Must have experience in the Administrative Aide II level equal to the length of the probationary period; or
  • Associates degree in Business Administration or Secretarial Science and
  • One (1) year of secretarial/administrative experience which involved working with the public, office management and operational details.
An equivalent combination of education and experience which provides the required knowledges, skills, and abilities.
Preferred Qualifications:
  • Possess significant knowledge of laws pertaining to personnel files.

Please Note - Effective August 1, 2024, a new exam for the role of Administrative Aide was launched and all candidates must complete this exam to be considered for this opportunity. Applicants who have previously taken the exam on or after August 1, 2024, and passed, will not be required to re-test.
    Pass a background investigation conducted by the Prince George's County, Office of Human Resources Management, Public Safety Investigations Division.
  • Must possess and maintain a valid driver's license.
  • Must pass a thorough background investigation.
  • Must pass a drug screening.
  • Must work shift work to include (day/evening/midnights), weekends, holidays, and on-call.
  • This is an essential position. Essential employees are expected to report during standard or non-standard hours as operations necessitate. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.
  • Meet all training and performance standards and demonstrate proficiency as required by the agency.
  • Wear and use agency protective apparel and equipment in the performance of their assigned duties, if applicable.
