Job Title: Administrative Support for Document Scanning and Indexing
Job Summary: We are seeking a detail-oriented and highly organized Administrative Support professional to join our team. This role is essential in ensuring that all documents are accurately scanned, indexed, and maintained for easy retrieval. The ideal candidate will be responsible for managing the document scanning process, performing quality checks, and organizing files in an efficient manner.
Essential Duties and Responsibilities:
" Operate scanning equipment to convert paper documents to digital format.
" Perform quality control checks on scanned documents to ensure accuracy and completeness.
" Index and categorize scanned documents for easy retrieval and reference.
" Maintain an organized and efficient filing system for both physical and digital documents.
" Assist with the retrieval of documents as requested by other departments.
" Troubleshoot and resolve minor issues with scanning equipment.
" Ensure compliance with company policies and regulations regarding document management.
" Assist with other administrative tasks as needed.
Physical Demands:
" Ability to sit or stand for extended periods.
" Ability to lift and move boxes of documents weighing up to 25 pounds.
" Manual dexterity required for operating scanning equipment and computer tasks.
" Visual acuity for detailed work and quality control checks.
Qualifications:
" High school diploma or equivalent; associate degree preferred.
" Strong attention to detail and organizational skills.
" Ability to handle confidential information with discretion.
" Basic computer skills, including familiarity with Microsoft Office Suite.
" Previous experience in document scanning, indexing, or a related field is a plus.
Experience:
" Minimum of 1-2 years of experience in an administrative or clerical role.
" Experience with document management systems and scanning equipment preferred.
Skills:
" Excellent organizational and time management skills.
" Strong attention to detail and accuracy.
" Good communication skills, both written and verbal.
" Ability to work independently and as part of a team.
" Problem-solving skills and the ability to troubleshoot technical issues with scanning equipment.
