Description

The mission of the Kentucky Board of Pharmacy is to promote, preserve, and protect the public health, safety,and welfare through effective regulation of the practice of pharmacy; the licensure of pharmacists; thelicensure, control, and regulation of all sites or persons who are required to obtain a license or permit fromthe Board of Pharmacy that distribute, manufacture, or sell drugs within the Commonwealth.

We are looking for a(n) Administrative Assistant- Boards and Commissions to join our team of highly skilledprofessionals. As a(n) Administrative Assistant- Boards and Commissions you will be responsible foradministrative functions of the Board including serving as meeting coordinator, fiscal manager and HRadministrator, performs other duties as assigned.

Responsibilities include, but are not limited to, the following:

Serves as meeting coordinator for Board and Committee meetings including polling members for meetingdates, gathers and distributes all meeting materials, and records all meeting minutes and video/audiorecordings.
Serves as primary contact for Board members/committee members regarding pay, travel documentationand reimbursement, and general scheduling/administrative information.
Serves as Human Resource Administrator processes all personnel actions and associatedpaperwork/communication/badge and equipment procurement, etc.
Ensures payroll/time entry compliance and timelysubmission of all timesheets for the agency with no errors.
Liaison with COT for any officecomputer/technology needs or issues.
Disseminates HR information to all Board staff.
Serves as fiscal manager for the agency including creating and entering financial documents in eMars foraccounts receivable, accounts payable, in-state and out-of-state travel requests, approval, documentation andreimbursement.
Creates and processes personal service contracts and assist Executive Director with the biennialbudget.
Pro card administrator.
Processes and manages all incoming applications/documentation for resident facilities including initialapplications, change of ownership applications, change of address/location applications, and name changeapplications.
Works with inspection staff to ensure the timely approval, processing and issuance of residentfacility licenses and permits.
Serves as webmaster of the BOP website and work with Kentucky Interactive to ensure all functionalitieson the website are operating appropriately.
Distributes mass email blasts at the direction of the ExecutiveDirector.
Facilitates RegWatch communications when new/amended regulations are filed.
Performs other duties as assigned.

Preferred skills and abilities

Experience with eMARs preferred
Ability to plan, organize, manage resources, and establish effective working relationships;
Ability to demonstrate regular and predictable attendance;
Proficient computer skills including knowledge of Microsoft Office applications;
Excellent written and verbal communication skills
