Summary and Purpose:
The Graduate Programs Recruiter and Coordinator supports and manages various aspects of graduate-level academic programs within Aquinas College. This position involves recruiting new graduate students, overseeing administrative functions, collaborating with faculty, supporting student services, and ensuring smooth operations of graduate programs.
Responsibilities/Duties/Tasks/Essential Functions:
Generates prospects, develops applications enrollment through various recruitment strategies. This could include evening and weekend hours.
Schedules and facilitates employer visits and attends graduate college fairs as well as career fairs.
Provides customer service by giving information to prospective students while addressing current student requests and concerns (online, telephone, walk-in). This includes, assisting students with Campus Safety needs (parking permits, college ID cards, tickets) and connecting students with resources throughout campus
Manages all incoming graduate program data including receiving and processing student applications, maintaining the prospective student database, entering and tracking transcripts, GMAT, GRE and TOEFL scores and maintains SLATE student database.
Creates and mails letters regarding student status
Assists with Independent study courses and processing
Assists with assessments and sets students up to audit courses and process documentation
Works with student accounts for billing issues, deferred billing, employer reimbursements, and A/R holds on behalf of students
Processes Independent Student Contracts
Assists students with changes to their ISLP's
Coordinates and documents Lifetime Experience credits
Coordinates with registrar's office, records department, provost office and Presidents office for graduate student commencement information
Serves as part of the registrars working advisory group for various projects and training relating to colleague (representing the graduate programs)
Organizes marketing materials for distribution to corporations and other organizations in addition to prospective student mailings. Coordinates prospective student information sessions, works with media services on various projects relating to the graduate programs and collaborates with ITS to keep graduate management websites updated
Assists international students by giving guidance about applying for student visa's, coordinates documentation for meetings with faculty and international prospective students, serves as ELS University admissions contact/coordinator for International graduate management student prospects.
Set up logistical arrangements for program abroad
Manages all course additions and drops including registering and confirming all students for courses for MM and MAC students.
Assists with scholarship applications and processing
Assist with student meetings, work schedules and visitation planning, check requests, reimbursement processing and processing and tracking of invoices
Serves as Michigan Intercollegiate Graduate Studies (MIGS) contact for graduate management programs
Colleague and DROA designee for our area
MIGS tracking
Other duties as assigned
Provides faculty support:
Facilitate communications between students and faculty
Proctoring Exams
Coordinating meetings, guest speakers and events for graduate business programs
Assist with textbook and supply needs for new adjuncts
Connecting new adjuncts with resources on campus (Course Connect, bookstore, copy services, ITS, campus safety, media services)
Syllabi collection and tracking for graduate management programs
Coordinate events for undergraduate business as needed
Back up "trainer" for TAP carts and electronic devices with adjuncts after hours
Various project coordination and tasks for adjunct professors
Knowledge, Skills and Education Requirements
Bachelor's degree required; Masters preferred
Experience in higher education is preferred
At least 2 years of administrative experience required
Knowledge of academic program development, curriculum planning and admissions procedures is preferred
Must have excellent verbal and written communication skills
Strong organizational abilities to manage multiple tasks, maintain records and coordinate events and program logistics efficiency is required
Must be comfortable and familiar with office software, databases and learning management systems used in higher education settings
Must have ability to perform the essential functions of the job with or without reasonable accommodations
Work Environment & Physical Demands
Must be able to function effectively in a busy environment with interruptions.
Constant use of computer and telephone.
Some occasional lifting (20-35 pounds)
