Liaises with:

Staff across all areas of the organization, board members, and committees
Designation:

Remote work primarily in the Eastern Time Zone, with work-related travel in the U.S. three to four times a year.

Maine, Vermont, Connecticut, New Hampshire, Massachusetts, New Jersey, Pennsylvania, Delaware, Maryland, Virginia, West Virginia, Ohio, North Carolina, South Carolina, Georgia, Florida, Alabama, Michigan, Tennessee, Iowa, Wisconsin, Missouri, Minnesota, and Texas.

The Executive Assistant to the Executive Director plays a crucial role in our leadership team, providing high-level administrative, logistical, and strategic support. This position will manage daily operations of the ED's office, assist with Board activities and development efforts, and represent the ED at both internal and external events. The role requires occasional travel to support organizational functions like retreats, The Montessori Event, and Board meetings.
Key Responsibilities
Executive Support

Act as the primary point of contact for the ED's office, managing correspondence, scheduling, and meeting preparations.
Draft, review, and edit various communications, presentations, and reports for the ED.
Coordinate and prioritize the ED's calendar efficiently.
Anticipate and proactively address the ED's administrative or logistical needs.
Ensure attention to detail in all correspondence and documentation.
Represent the ED's Office at key events and organizational activities.

Board Support

Serve as the liaison between the ED, Board of Directors, and Board committees.
Coordinate and organize Board meetings, including scheduling, agenda preparation, minutes, and follow-up.
Handle logistics for in-person board meetings for the ED and participants.
Ensure timely distribution of meeting materials and maintain records of Board activities.
Support the ED in fostering strong Board relations.

Management and Cross-Team Coordination

Oversee day-to-day operations of the ED's office, including monitoring budgets and resource allocation.
Collaborate with internal teams to align organizational priorities.
Support special projects and initiatives as directed by the ED.
Maintain accuracy and thoroughness in cross-team coordination.
Organize and arrange various AMS events such as staff retreats and professional development activities.

Development and Recognition

Assist in planning and executing development initiatives for donor stewardship and recognition.
Coordinate work for the Development and Recognition Committees to ensure collaboration.
Support the ED in preparing for donor meetings and fundraising events.
Keep accurate records of development activities and donor engagement.

Qualifications
The ideal candidate will exhibit professionalism, discretion, and initiative.
Education and Experience

Bachelor's degree in a relevant field or equivalent experience required.
Minimum of 10+ years of experience in executive-level administrative support, nonprofit management, or related fields.
Experience with Board relations and event planning preferred.

Skills and Competencies

Exceptional time management, organizational, and project management skills to handle multiple priorities effectively.
Strong written and verbal communication abilities for drafting correspondence and presentations.
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
Aptitude for building positive relationships with internal and external stakeholders.
Discretion and professionalism in handling sensitive and confidential information.
Ability to think critically and solve problems efficiently.
