Associate Director of Fund Development

Job Summary

The Associate Director of Fund Development will work closely with the Director of Fund Development to co-lead the department, driving strategic initiatives to meet the fundraising and development goals of the Girl Scouts of the Chesapeake Bay Council. This role focuses on maintaining a clean, accurate, up-to-date donor database and utilizing it to its fullest extent. Key responsibilities include acknowledging donors promptly, analyzing donation reports, stewarding and identifying potential major donors, and building a sustainable major donor pipeline for increased unrestricted funding and higher donor retention. The Associate Director will also play a crucial role in managing grant proposals, compliance reporting, and supporting special events, sponsorships, and donor engagement initiatives. This position emphasizes collaboration with the Director to align department priorities and execute successful development strategies.

Essential Duties and Responsibilities

Data & CRM Management

• Manage the donor database (Raiser's Edge) to ensure timely and accurate updates while entering all donations.
• Oversee acknowledgment letters, personalized communications, and donor recognition programs.
• Generate regular reports on major gift activities, including donor pipeline, progress toward fundraising goals, and revenue projections.
• Enter all revenue sources, update funding trackers, and complete check requests as needed.
• Organize revenue documentation and backups in internal SharePoint and trackers.
• Analyze donor data to create effective reports supporting data-driven decision-making.

Fundraising - Donor Relations, Major Giving Cultivation, and Stewardship

• Manage donor relationships, expressing gratitude while building connections to ensure retention.
• Create processes for major donor cultivation, including donor portfolios and call lists.
• Manage a portfolio of donors and partner with the Director of Fund Development and CEO to solicit major gifts through personal meetings and stewardship activities.
• Develop and implement tailored solicitation strategies for annual giving campaigns, donor acquisition, and retention (Direct Mailings & Electronic Solicitations).
• Collaborate with the Director and senior leadership to align major gift strategies with fundraising goals.

Event Coordination

• Work with the Director of Fund Development, MarCom staff, and Senior Leadership to plan, advertise, and execute fundraising events.
• Solicit sponsorships and manage communication with sponsors
• Assist in project planning, scheduling, and coordination to ensure successful event execution
• Monitor event expenses and resource allocation to stay within budget constraints.
• Maintain event records and results, including funds raised and acknowledgments.

Documentation, Proposal, and Reporting Management

• Assist in the research, preparation, and submission of funding requests and reports to corporate, foundation, and government sources.
• Maintain accurate records of proposals and supporting documentation, updating timelines and calendars for submission and reporting deadlines.

Work Environment

• GSCB service area covers 14 counties in Delaware and the Eastern Shores of Maryland and Virginia.
• GSCB maintains camp properties in Hockessin, DE, and Denton, MD.
• Primarily remote work environment: residence within a reasonable commuting distance to Hockessin, DE, is required.

Required Education and Experience

• Bachelor's degree in communication studies, Business Administration, or a related field.
• Experience with Blackbaud Raiser's Edge or similar donor database systems.
• 3-5 years of nonprofit experience.

Additional Qualifications

• Strong communication and relationship-building skills.
• Demonstrates initiative and thrives in fast-paced environments.
• Proficiency in Microsoft Office Suite and social media platforms.
• Familiarity with the Delmarva Peninsula's funding landscape preferred.

Physical Requirements:

The physical demands described are representative of those that an employee must meet to perform the essential functions of this job successfully. The employee must be able to withstand:

• Prolonged periods sitting at a desk and working on a computer.
• Manual operation of office equipment.
• Occasionally lifting and/or moving up to 25 pounds.
