Key Responsibilities

Operational Management

- Oversee internal operations and ensure processes are in place to deliver on goals and maintain efficiency.
- Manage accounts for organizational technology services (e.g., Zoom, Microsoft Workspace tools).
- Coordinate in-person staff meetings and executive travel.
- Develop goals and timelines consistent with the organization's budget and deliverables.
- Track deliverables due to foundations and other stakeholders, ensuring timely submission.
- Assist with the development and continuous improvement of administrative policies and procedures.

Program Support

- Coordinate and execute logistics for events and programs, working with internal and external teams.
- Collaborate with staff from the National Press Club and the National Press Club Journalism Institute, including finance, human resources, and IT teams.
- Provide administrative support for the governance committee.

Grant Administration

- Oversee grant management, ensuring financial statements comply with grant requirements.
- Prepare and submit grant applications, reports, and thank-you notes in a timely manner.

Advancing the Mission

- Act as a champion for the Press Freedom Center's mission, advocating for press freedom and journalist safety through innovative programming and outreach.
- Proofread and distribute press statements issued by the Press Freedom Center.
- Assist with casework for exiled or wrongfully detained journalists, providing administrative and logistical support as needed.
- Collaborate with the leadership and staff of the National Press Club and the National Press Club Journalism Institute to align the Center's initiatives with the broader organizational goals.

Communications and Relationship Management

- Manage general correspondence, including thank-you letters to donors and communications with vendors.
- Proofread communications and marketing documents.
- Answer phone calls and emails, directing them to relevant staff as needed.
- Build and maintain positive relationships with stakeholders, including contractors and vendors.

General Support

- Provide administrative support to the Director, including scheduling meetings and responding to inquiries.
- Manage contractors, vendors, and associated agreements.

Qualifications

Required Skills and Experience:

Education and Work Eligibility:

Bachelor's degree or equivalent experience.
Authorized to work in the U.S. or able to obtain work authorization.

Professional Experience:

Proven experience in operations management or a similar role, with a minimum of 3-5 years of experience, ideally within a nonprofit or mission-driven organization.
Strong organizational and leadership skills, with the ability to manage multiple priorities in a fast-paced environment.
Exceptional written and verbal communication skills, with advanced-level professional competency in English; fluency in an additional language is a plus.
Demonstrated ability to prepare and interpret financial reports and oversee accounting processes.

Technical Proficiency:

Proficiency in Microsoft Office, Google Workspace, Zoom, PowerPoint, and social media platforms (Twitter, Instagram, LinkedIn).
Familiarity with tools such as Eventbrite, Canva, and Jonas (or similar accounting software) is a plus.

Mission Alignment:

Strong interpersonal and leadership skills driven by a commitment to the mission of independent journalism and press freedom.
Excellent critical thinking, problem-solving, and judgment skills to support organizational goals and initiatives effectively.

Preferred Qualifications:

- Experience working in 501(c)(3) organizations.
- Familiarity with nonprofit grant administration and reporting.
- Knowledge of press freedom or media-related issues is a plus.

Work Environment and Benefits:

- Location: This position is based in Washington, D.C.
- Hours: Monday-Friday, 9 a.m.-5 p.m., with occasional evenings or weekends as needed for events or programming.
