Legal Administrative Assistant
A well-established and growing defense law firm dedicated to providing top-tier legal representation to clients is looking to add to their team. The team works diligently to ensure the best possible outcomes in complex litigation cases. They are seeking a highly organized, detail-oriented, and proactive Legal Administrative Assistant to join their dynamic team. Key Responsibilities:
• Administrative Support: Provide comprehensive administrative support to attorneys and paralegals, including managing calendars, scheduling meetings, and preparing legal correspondence.
• Document Management: Assist with the preparation, editing, and formatting of legal documents, briefs, pleadings, and discovery materials. Organize and maintain physical and electronic filing systems.
• Client Communication: Act as the point of contact for clients, answering phones, scheduling consultations, and managing incoming communications.
• Case Management: Assist in case preparation by organizing documents, managing deadlines, and conducting research as needed.
• Court Filings Coordinate with attorneys and paralegals to ensure timely filing of legal documents in state and federal courts, both electronically and physically.
• Billing Support: Assist with preparing billing statements, tracking billable hours, and following up on payments.
• Data Entry and Record Keeping: Maintain accurate records in case management software, ensure confidentiality, and adhere to firm policies regarding file storage and security.
Qualifications:
• Experience: Minimum of 2 years of experience in an administrative role, preferably within a law firm or legal department.
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with legal software (e.g., Clio, MyCase, or similar). Experience with e-filing systems in state and federal courts is a plus.
• Communication: Excellent written and verbal communication skills, with the ability to interact professionally with clients, court staff, and legal personnel.
• Organizational Skills: Strong attention to detail and the ability to manage multiple tasks and deadlines in a fast-paced environment.
• Confidentiality : Must maintain the highest level of confidentiality and professionalism at all times .
Preferred Skills:
• Prior experience in a defense law firm.
• Familiarity with legal terminology and court procedures.
• Ability to work both independently and as part of a team.
