Our client, a leading financial institution based in Jeddah, Saudi Arabia, is seeking a professional and experienced Executive Secretary to support a C-Suite executive. This role demands an individual with exceptional organisational skills, a strong attention to detail, and the ability to handle sensitive information with the utmost confidentiality.
The Role
Manage the executive's diary, schedule appointments, and coordinate meetings to ensure smooth daily operations.
Prepare reports, draft routine correspondence, and type from dictation or written sources with accuracy and professionalism.
Screen all incoming calls, respond as appropriate, and take necessary action.
Draft routine correspondence for approval and obtain necessary signatures.
Greet and receive visitors to the executive's office, ensuring a professional and welcoming environment.
Attend departmental meetings, record minutes, and ensure timely distribution of action items and follow-up tasks.
Coordinate logistics for meetings, including venue booking, travel arrangements, equipment set up, and hospitality arrangements.
Assist with regional HR-related matters as required, supporting the broader team with administrative HR tasks.
Our Ideal Candidate
At least 3 years' experience in an executive administrative or secretarial role.
Excellent command of both written and spoken English and Arabic.
The ideal candidate will be a female Jordanian or Egyptian national currently residing in Jeddah, with a proven track record of providing high-level administrative support.
Strong organisational and time-management skills with the ability to multitask effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Discretion and ability to handle confidential information sensitively.
Strong interpersonal skills and the ability to interact with senior executives and stakeholders professionally.
