Construction Administrator

In a Nutshell…

We have an amazing opportunity for a Construction Administrator to join our team within Vistry Cornwall South West, at our Sherford site in Plymouth, you must be able to commute to Sherford daily. As our Construction Administrator, you will work within the Project Team to provide a consistent and timely service to our Delivery Partner by ensuring that project handover information is managed, communicated, filed and provided in accordance with the Handover Process as agreed with each delivery partner. The role is expected to evolve and develop to reflect the operational need and requirements of the Sherford Developments team responsible for successful delivery of the overall project strategy to deliver 400 homes per year across Sherford using our Bovis Homes, Linden Homes, and Countryside Homes brands. This will be achieved by working closely and in harmony with all key personal as required to deliver the Sherford New Town development.

Experience of using Viewpoint 4Projects
Experience in residential housing delivery
Knowledge and understanding of the Document Control process at operational level is vital.
Minimum of two years' experience of carrying out a similar role
IT literate - Office 365 preferable
Viewpoint / SharePoint
Working with many stakeholders and cross-department collaboration.
Strong time management skills with an ability to prioritise
Able to work under own initiative, having good decision-making skills and a keen sense of responsibility
Problem resolution in a timely manner

HNC in Computer Science, Business Administration or similar

Implements, manages and complies with Vistry Governance procedures.
Working closely with the Build Team, you will be responsible for collating and distributing reports regarding all Partner Delivery such as Affordable/Additionality Contracts or PRS Contracts.
Maintain and develop key working relationships with our Delivery Partners.
Produce, update and deliver the Home User Guide (HUG) with all relevant handover /completion information on time and as required to achieve the handover/completion criteria with our delivery partners.
To attend all internal project meetings and delivery partner meetings to ensure a smooth transition from build to completion (handover).
Support the Build Team by collating, issuing, and closing out Delivery Partner snagging sheets via the supply chain.
To be responsible for the management of documents for multiple projects, ensuring Teams Channels and Project Folders are created for projects, and documents are uploaded in an accurate and timely manner.
Work with procedures, guidance and forms contained within the corporate Business Management System (BMS).
Maintain knowledge and understanding of the Document Control process at operational level.
Maintain knowledge and experience of Viewpoint 4Projects at an operational level.
Ensure documentation follows approvals process.
Carry out quality assurance checks on all information uploaded.
Ensure all documents are up to date and completed correctly prior to internal or external audits.
Ensure external documentation is identified and distributed as agreed.
Ensure all drawings / documentation are controlled and maintained in a methodical manner.
Manage user accounts, permissions and provide systems training.
Support internal and external users regarding system issues.
Print / organise print service for drawings when required.
Liaise with production team regarding handover information / documentation.
Support, encourage and facilitate collaboration and teamwork to ensure everyone fulfil their duties to the best of their abilities.
Ensure all affordable and PRS specifications are effectively communicated to the Build, Technical and Commercial teams.
Prepares and collates reports including minutes of meetings as follows:
Partner Delivery such as Affordable/Additionality Contracts or PRS Contracts
JV/Partner delivery reporting
Project Review Minutes
Contractors Meetings
Board reports
Ensure the CML or PC dates are planned to ensure all required handover information is in place on time.
Attends and contributes towards the weekly/monthly Partner meetings, Monthly project review meetings, supply chain meetings and collaborative planning meetings.Finally, let's tell you a bit more about us…
