Are you a proactive, highly organized individual with strong communication and interpersonal skills? We are looking for an Executive Assistant to join our company and provide essential administrative and organizational support.
Responsibilities:
Support for the Managing Director and selected members of the Management Team:
Efficient diary management, scheduling, and coordination of internal and external appointments Preparation and follow-up for meetings, including drafting presentations, minutes, and reports Acting as a liaison between internal and external stakeholders Ensuring smooth communication flow within the organization Office Management:
Overseeing the organization and smooth running of the office operations Managing office supplies, equipment, and services Coordinating with external service providers and suppliers Supporting the onboarding process for new employees regarding office-related matters Fleet Management:
Administration of company vehicles (insurance, leasing updates, and maintenance coordination) Ensuring compliance with legal regulations and internal policies regarding the vehicle fleet Optimizing fleet costs and ensuring sustainability practices are in place Facility Management:
Overseeing maintenance and organization of company facilities Coordination of external service providers and suppliers Ensuring an optimal working environment for employees Budget planning and monitoring for facilities Event and Offsite Organization:
Planning, organizing, and executing internal and external events Handling logistics, location management, and participant coordination Preparing and managing event budgets Additional Tasks:
Preparing and maintaining documentation and reports Proactively supporting ad-hoc projects and special tasks Ensuring adherence to data protection and compliance guidelines Qualifikationen Professional Qualifications:
Completed commercial training or equivalent qualification Several years of experience in a similar role, ideally in an international environment Excellent organizational and planning skills Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Google Workspace Fluent in German and English (French is a plus) Personal Skills:
