Role Description

We are seeking a highly organized and detail-oriented individual to serve as a full-time on-site Office Manager at our Toronto office located in the water front.

The Office Manager will be responsible for communication, administrative assistance, managing office daily operations, equipment, and overseeing office administration tasks on a daily basis.

Help executives implement policies, polish communication, organize regular and ad hoc events, and share administrative duties.

Support HR, CISO, and Finance to ensure policy compliance, and improve customer and employee experiences.

The ideal candidate is a proactive multitasker with excellent communication and problem-solving skills who have spent time on various different roles, and/or passionate about enabling everyone around the office, both in person and remote, to be more efficient.

Key Responsibilities:

Oversee the day-to-day operations of the office, ensuring it runs smoothly and efficiently.
Provide administrative support to senior management, including scheduling meetings, managing calendars, and preparing reports.
Handle travel arrangements, expense reporting, and correspondence.
Organize and maintain digital and physical files, ensuring easy retrieval and confidentiality.
Prepare and edit documents, presentations, and spreadsheets as needed.
Schedule and coordinate meetings, conferences, and events.
Prepare agendas, take meeting minutes, and distribute follow-up materials.
Act as the point of contact for internal and external communications.
Screen phone calls and emails, directing them to the appropriate parties or handling them independently.
Help with Job postings and manage initial candidate screening
Support the HR team with writing contracts, maintaining holiday calendars, and helping answer HR questions from employees

Qualifications

Strong Communication and Customer Service skills
Experience in Administrative Assistance and Office Administration in a multi department environment
Familiarity with Office Equipment maintenance procedures
Ability to prioritize tasks and multitask effectively
Excellent organizational skills and attention to detail
Proficiency in Microsoft Office Suite
Discretion and confidentiality when handling sensitive information.
Previous experience in a similar role is a plus
Bachelors degree in business administration, fine arts, psychology and related field or equivalent experiences.
