What do you offer?

The Finance and Administration Officer (FAO) is a member of the Housing Department's administrative team, supporting the Associate Vice President of Housing Services and all Housing Directors to deliver a range of supportive and transitional housing services to residents at the Taggart Y. The FAO works closely with the Assistant Controller and with the Housing Senior Leadership Team to achieve strategic goals in the fulfillment of the mission of the YMCA of the National Capital Region.

Some of the tasks of this position include:

• Supporting the Assistant Controller in preparing and updating Housing Services spreadsheets and funder reporting forms and templates.
• Tracking deadlines for reports to funders and maintaining partner/funder/donor lists.
• Tracking credit card expenditures and receipts, and processing expense claim forms related to expenses incurred by Housing Services staff.
• Managing meeting room and event space bookings for the Taggart Y, including providing quotes and logistical support to external clients.
• Maintaining Housing Services inventory lists and placing orders as needed.
• Administering resident management (Maestro) software.
• Planning and coordinating special events as directed (approximately twice per year).
• Exploring opportunities and implementing processes to automate and streamline Housing Services operational functions.

What qualifications and abilities are we looking for?

Education

• Post-secondary education or equivalent in a related field, such as business administration.

Language

• Fluent in English, oral and written.
• French is an asset.

Experience, Skills and Abilities

• Minimum two years of experience working in an office environment.
• Minimum two years of experience in a non-profit or social services environment is preferred.
• Proficiency in Microsoft Office, especially spreadsheet software, file management, and database management.
• Familiar with budgeting, procurement/spending, and financial reporting rules.
• Strong attention to detail and highly organized.
• Good judgement.

Additional Requirements:

• Applicants must already have a valid permit to work in Canada.
• A Police Record check, not more than 6 months old is required.
• Semi-annually, staff must complete the mandatory training for the protection of Children & Youth and submit the certificate of completion.
