Here is what you will be doing:

Reporting to the Chief Privacy Officer- Legal, Privacy & Risk and working closely with the members of the Privacy team, the Program Manager, Privacy, will manage the development of ongoing privacy program activities, coordinate key projects for the Privacy Program, manage the day-to-day operations, including contract management, and serve as the primary point of contact for internal and external stakeholders on all matters.

The incumbent will work closely with the privacy leadership team and/or members of the privacy team on a broad range of internal initiatives, ensuring strong program support, project coordination, documentation, and reporting, providing support to the privacy program related committees, as well as providing business support to the V. P. Risk, Compliance and Strategic Initiatives.

This role will demonstrate a high level of collaboration and teamwork, sharing information and working in partnership with the Legal, Privacy, Risk & Governance team and other Portfolio teams.

Here is what you will need to be successful:

Program Management /Support

• Support with the Chief Privacy Officer and the privacy leadership team, managers and business partners to drive and align privacy programs and initiatives with key business and employee engagement objectives.

• Manage the flow of communications to and from the Privacy Program to facilitate the prioritization, coordination, and delegation of requests for information and to ensure the Chief Privacy Officer is properly briefed in all significant matters.

• Collaborate with peers to drive programs within key portfolio functions, including supporting the Privacy Program and relevant committees.

• Provide guidance for change management initiatives.

• Develop, optimize, document, and standardize sustainable processes across the programs, sharing best practices across the portfolio.

• Attend and act as recorder at meetings to prepare minutes or action items as well as provide other logistical support for provincial and other committees and working groups for both the Privacy and the ERM Programs.

Project Coordination

• Lead and participate in a variety of projects as assigned by the Chief Privacy Officer.

• Develop and monitor project plans, track and follow-up on risks, accurately report progress against milestones to keep initiatives on schedule.

• Coordinate activities of projects; determine project priorities, set project milestones.

• Develop and schedule project work plans, in accordance with project specifications and guidelines.

• Develop strong working relationships and maintain open communication with project stakeholders and project team members.

• Lead or support consultations and meetings with Chief Privacy Officer and/or privacy leadership team, project teams, and stakeholders.

• Monitor specific deliverables, timelines, and communications.

• Follow-up on team member commitments and proactively identify issues and risks.

• Analyze and consolidate project scorecards or other related artifacts.

Business Support

• Act as the liaison and point of contact between the Chief Privacy Officer, Ontario Health leadership, functional areas, and other stakeholders e. g. Ministry of Health, IPC, to coordinate meetings, develop, consolidate, and coordinate information in response to requests and requirements.

• Provide support to the Chief Privacy Officer to ensure timely and accurate information is prioritized, researched, analyzed, and summarized on current and emerging issues to support privacy program priorities.

• Manage and coordinate day-to-day office operations including but not limited to central privacy intake processes, contract management, central office mail and email inquiries, team site and other databases, vacation schedule - this includes going into a physical office once a week to process sensitive correspondence.

• Ensure legal and other documents, including contracts are executed, kept updated and respond to requests for, make and track amendments.

• Responsible for planning deliverables, coordinating with other teams, obtaining management approvals, etc.

• Work in partnership with portfolio team members in the preparation of assessments, reports, and presentations.

• Maintain a bring forward system for the Chief Privacy Officer and capture intake, inquiries and other requirements for the Privacy leadership team.

• Prepare business cases; research topics, gather information from appropriate sources. Maintain SharePoint folders ensuring that briefing materials, training artifacts, meeting notes, and other records are entered, and folders are up to date.

Education and Experience

• Graduation from a college or university; or equivalent education and experience.

• 3 to 5 years' project or program management experience or equivalent.

• 3 years' experience in providing executive level services and support.

• PMP designation is an asset.

• Experience working with senior executives and external stakeholders.

• Experience with management of legal documents is an asset.
