The Opportunity:

The Office Administrator is the first point of interaction for employees, visitors, and clients via phone, email and in person at the Atholville Facility, and key contact for all employees internally. This role answers and directs internal and external general inquiries, facilitates visitors to the building, coordinates office supply orders and inventory, and performs administrative tasks to support multiple departments and team members as requested.

Scope of Role:

Maintain a high level of customer service and confidentiality for both internal and external customers; addressing general inquiries, greeting and assisting all visitors/clients via phone, email or in person, and collaborating with security to ensure standard operating procedures are adhered to
Promptly address incoming telephone calls, voicemails and general email/in person inquiries, taking messages and/or directing to the appropriate individuals.
Handle incoming and outgoing mail:
sort and distribute incoming mail; prepare outgoing mail for pick-up or courier (including sample and sales material shipments) and perform the waybill management and delivery tracking.
Support a portion of new employee onboarding, in collaboration with key internal stakeholders.
Providing a variety of administrative support to multiple departments, as needed. This includes, but is not limited to, compiling expense reports, accounts payable duties, meeting coordination & set up, booking travel arrangements, credit card reconciliation, etc.
Liaise with management to support vendor visitations, when required.
Assist the Health and Safety team with administrative and reporting duties.
Contribute to a positive team atmosphere, assisting with various tasks as required.
Support other Administrative Assistants across various offices, including running errands or completion of other tasks, when required.
Assist with office/staff events/functions.
Contribute to a positive team atmosphere, assisting with various tasks as required.
Maintain a clean and tidy office environment including the oversight of all meeting and boardroom spaces.

Knowledge and Experience:

High school diploma or an equivalent
2+ years of experience in an administrative, customer service, office assistant role or in a related capacity
2+ years of customer service experience
Excellent communication and multitasking skills, a positive and proactive attitude and a strong work ethic
Thorough understanding of expectations for maintaining confidentiality within the workplace (as it relates to both internal and external stakeholders)
Computer proficiency with Microsoft Office Suite (MS Word, Excel and PowerPoint)
A demonstrated ability to exercise good judgment.
Excellent interpersonal, verbal and written communication skills, with a strong attention to detail
Ability to successfully complete a Criminal Record Check
All successful candidates are required to pass background checks.
Must hold a valid driver's license and have access to a personal vehicle, when required.
