About our team

The Business Travel Team is part of the Financial Systems, Fleet and Travel Section within the Finance Operations Branch. The Business Travel Team is responsible for delivering a helpdesk telephone support connect service for international and domestic travel and sponsored passports for the Department of Home Affairs and the National Emergency Management Agency (NEMA).

The Business Travel Team is responsible for the department's travel policies, procedures and related reference materials, and reports on compliance with the Whole of Australian Government (WoAG) contracts and policies under the Travel Management Services arrangement. A key aspect of the role is to ensure official travel is compliant with relevant legislative and policy requirements.

The Travel team engages with a range of internal and external stakeholders regarding business operational requirements with credibility and professionalism to meet the business travel needs of the Department and NEMA. Reporting to the Travel Supervisor, Travel Officers work both independently and as part of a team to provide travel helpdesk support and assistance.

Our ideal candidate

The ideal candidate will:

• Possess excellent communication skills and the ability to respond to clients in a professional and timely manner.
• Possess sound data analysis skills, financial knowledge including procurement and contract management principles and general finance applications.
• Possess sound judgement and decision-making skills, and an ability to manage time workload, workflow and competing priorities often within set time frames.
• Possess knowledge of, or experience with SAP Travel Systems, HR/Financial Policy (or ability to obtain).
• Possess knowledge of, or experience in Management of WoAG Contracts, Travel industry (or ability to obtain).
• Ensure compliance with legislative frameworks, mission and policy requirements are maintained.

Duties and responsibilities

• Acquire a good understanding of travel-related policies and guidelines and assist in the management of day-to-day travel tasks and activities.
• Provide travel helpdesk support via emails and telephone, and financial treatments and reconciliations of travel transactions.
• Provide administrative support through engagement with internal and external stakeholders and resolve disputes, sensitive/complex matters.
• Provide advice and technical expertise to travellers and travel arrangers including Expense Eights, SAP systems and Travel Management Services Supplier systems.
• Manage internal compliance records, travel allowance acquittals, internal audits and functionality of travel-related financial systems.
• Assist in reviewing, updating and/or developing travel-related policies and procedural guidelines as required.
• Supervise and mentor staff as required.
• Other duties as required.

Eligibility

To be eligible for the position you must be an Australian Citizen.

The successful candidate will be required to obtain and maintain a Baseline Vetting (AGSVA) security clearance, and:

• ABF Workers will also be required to obtain and maintain an Employment Suitability Clearance (ESC).
• Home Affairs Workers will also be required to obtain and maintain an Onboarding Check.

In certain circumstances, an Employment Suitability Clearance (ESC) may be required in addition to, or in lieu of, an Onboarding Check, which will be determined by the delegate as necessary.
